Founded in 1948 by George Balanchine and Lincoln Kirstein, New York City Ballet quickly became world-renowned for its athletic and contemporary style. Widely acknowledged for its enduring contributions to dance, New York City Ballet is committed to promoting creative excellence and nurturing a new generation of dancers and choreographers. The School of American Ballet is the official training academy of the New York City Ballet.

The New York Choreographic Institute (NYCI), an affiliate of New York City Ballet, is accepting applications for a part-time Coordinator. This role assists both the Managing Director and Artistic Director with operational and programmatic functions of the Institute.

The Coordinator will also work closely with Company dancers, the development and marketing teams and colleagues at the School of American Ballet. In addition, the role will work directly with the Artistic Director to facilitate the choreographer selection process, including the collection, organization, and review of annual applications.

Position Responsibilities:
Manage all logistics pertaining to NYCI sessions, including:

  • Coordination of Residency programs, off-site partnerships, and Symposia
  • Contracting all participating artists (choreographers, dramaturgs, dancers,
    composers, musicians, & others as needed)
  • Arranging travel logistics & hotel reservations for visiting artists
  • Creating and coordinating NYCI schedules
  • Organize artist-enhancing activities during the session, such as attending local
    performances, dinners, and group discussions
  • Maintain CRM database, project management system, and proxy email process
  • Serve as the primary contact for all participants as needed & regularly distribute
    all pertinent information
  • Help produce and release the dance films each session; coordinate with marketing to create an editorial for release purposes
  • Help manage the NYCI budget, tracking all department spending, ensuring timely
    payments to vendors and artists and planning future budgets accordingly.
  • Maintain NYCI’s social media presence, regularly updating social platforms and the
    website
  • Other duties as assigned

Manage studio showings of new works for invited audiences of board members, major donors, and VIPs in the dance community:

  • Organizing guest lists, creating and sending out invitations, and tracking guest RSVP list
  • Ensure proper studio set-up and break-down for the event
  • Send security memos to fire command
  • Create programs to be printed via Upper West Side Copy
  • Hire/coordinate with filmmaker and photographer
  • Organize receptions to accompany studio showings
  • Overseeing event set-up and break-down, staffing, catering, and other logistics

Maintain communication and regular updates with the Institute’s Advisory Council:

  • Schedule semi-annual council meetings
  • Maintaining minutes and distributing meeting packets and information

Qualifications Skills & Requirements:

  • Bachelor’s degree and a minimum of two years’ experience in arts administration
  • Knowledge of ballet and choreography required
  • Project management experience required
  • Production knowledge preferred
  • Ability and willingness to work evenings and weekends surrounding flagship residency sessions
  • Excellent interpersonal, communication and organizational skills
  • Proficiency with MS Office
  • Experience with YouTube, Vimeo, QuickTime, and other video conversion software
