About the Role
NAM is seeking a Scheduling Coordinator based out of our New York City office to provide administrative support to our arbitration and mediation operations. This role is responsible for coordinating hearings and conferences, managing scheduling logistics, and supporting the daily operations of our conference center. This position plays an important role in ensuring that hearings and mediations are scheduled efficiently while providing a high level of service to clients, attorneys, and neutrals. This position requires strong organizational skills, excellent communication abilities, and the capacity to manage multiple scheduling priorities in a fast-paced environment.
Key Responsibilities
- Coordinate and schedule arbitration and mediation hearings with clients, attorneys, and neutrals
- Confirm hearing dates, conference calls, and meeting arrangements with all relevant parties
- Maintain accurate scheduling records and documentation
- Communicate with clients and internal staff to ensure efficient coordination of case schedules
- Provide administrative support for arbitration and mediation case logistics
- Assist with front desk coverage in the conference center as needed
- Provide general administrative support to operations staff as required
- Deliver high-quality customer service when interacting with clients, neutrals, and colleagues
Qualifications
Required
- High school diploma or equivalent
- 2+ years of experience in administrative assistant, office coordination or scheduling positions
- Strong organizational and time-management skills
- Excellent verbal communication skills with clear diction and a professional phone presence
- Computer proficiency and experience working with office systems
- Ability to multitask in a fast-paced environment while maintaining accuracy
- Ability to work collaboratively as part of a team
Preferred
- Associate or bachelor’s degree
- Experience coordinating meetings, events, or conferences
- Familiarity with professional or legal services environments

What We Offer
Salary: $28-$30 per hour (good-faith estimate)
