This position plays a critical role in supporting customers, preparing estimates and quotations, processing parts and service-related orders, coordinating materials, managing inventory, and serving as a key link between customers, vendors, and internal departments to ensure customer requests are handled accurately, efficiently, and professionally.

The ideal candidate is a strong multitasker with excellent communication skills, exceptional attention to detail, and the ability to learn technical products, parts, and services. A college degree is not required. Relevant experience, mechanical aptitude, organizational skills, and a strong work ethic are valued more than formal education.

Primary Responsibilities

  • Prepare detailed estimates and proposals for replacement parts, field service work, and Industrial Mechanical Group (IMG) opportunities
  • Process parts orders, service-related orders, and customer purchases from receipt through completion
  • Maintain communication with customers regarding pricing, lead times, order status, and technical questions
  • Coordinate with vendors and internal departments to obtain pricing, lead times, and material availability
  • Track and manage inventory between company facilities
  • Support sales and service personnel with administrative and customer-related tasks
  • Learn KDS products, services, and applications
  • Coordinate activities across sales, service, engineering, manufacturing, and accounting departments
  • Monitor open quotations and orders to ensure timely follow-up and customer satisfaction
  • Maintain accurate records using Microsoft Teams, QuickBooks, and other company software platforms
  • Assist customers with parts identification, product selection, and basic troubleshooting
  • Follow up on quotations and customer inquiries
  • Perform other duties as assigned

What Makes Someone Successful in This Role

The most successful candidates are highly organized, possess strong common sense, communicate well with customers, and can effectively manage multiple priorities in a fast-paced environment. They are comfortable learning technical products and services, solving problems, preparing estimates, and coordinating activities between customers, vendors, and internal departments. Success in this role requires the ability to stay organized, adapt to changing priorities, and manage numerous customer requests, quotations, orders, and deadlines simultaneously.
