Your Role & Impact
As an Administrative Assistant, you will provide essential administrative support to our tax department, helping ensure that tax processes are completed accurately, efficiently, and on time. Your responsibilities will include:
Preparing and organizing tax documents for filing with federal, state, and local authorities
Maintaining accurate tax-related records and filing systems
Assisting with the preparation of client bills and supporting the billing process to ensure timely and accurate invoicing
Assisting with the preparation of reports, client communications, and IRS forms
Managing calendars, appointments, and filing deadlines for the tax team
Providing administrative support for tax-related client matters
Your Skills & Experience
We’re looking for driven professionals with a passion for excellence. The ideal candidate will have:
A high school diploma or equivalent (Associate’s degree in business or a related field is a plus)
Previous administrative experience, preferably in a tax, accounting, finance, or professional services environment
Experience assisting with billing, invoicing, or administrative financial processes is a plus
Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
Strong organizational skills with excellent attention to detail
Clear verbal and written communication skills
Ability to handle sensitive information with confidentiality
Effective time management skills with the ability to meet deadlines
Stand-Out Skills
Familiarity with software such as Deltek, Thomson Reuters, or CCH
Experience in handling tax documents, IRS responses, and client onboarding tasks
Knowledge of preparing reports, Power of Attorney (POA) forms, and Beneficial Ownership Information forms
Strong work ethic and ability to work independently or collaboratively
Interest in accounting or finance and a desire to grow in a professional setting
