Canadian Mental Health Association – Edmonton Region (CMHA Edmonton) is a community-based organization dedicated to strengthening mental health and wellbeing for all. Guided by its mission to advance a coordinated and effective system of community mental health and suicide prevention programs and services, CMHA Edmonton delivers a broad range of supports, including crisis response, navigation services, housing services, peer and family programs, and community-based initiatives. Job Summary

The Event and Partnership Engagement Coordinator is a key member of the Fund Development and Marketing team and plays an essential role in the planning and delivery of internal events, fundraising activities, and third-party initiatives.

Reporting to the Community Partnerships Lead, this role focuses on coordinating event logistics, supporting community partners, and contributing to positive donor and participant experiences. The Coordinator works collaboratively with fund development, marketing, communications, and planning committees to ensure events are aligned with organizational priorities and delivered effectively.

This role is well suited to a highly organized and detail-oriented individual who is driven to create thoughtful events that reflect the organization’s mission, foster connection, and deliver meaningful and engaging participant experiences.

Job Responsibilities:

Event Coordination and Execution

  • Coordinate and support the planning and delivery of fundraising, third-party, and internal events.
  • Develop timelines, checklists, and run-of-show documents to support event execution.
  • Coordinate event logistics including venues, vendors, catering, supplies, and accessibility needs.
  • Track event budgets and expenses, ensuring accurate documentation and cost-effective delivery.
  • Lead event-related planning meetings, including preparing agendas, tracking action items, and supporting follow-through.
  • Support event setup, on-site coordination, and post-event wrap-up.
  • Troubleshoot issues and support smooth event execution.
  • Contribute to a positive, professional, and welcoming event experience.

 

Internal and Community Event Support

  • Support internal departments in planning and delivering events, providing guidance and support on logistics and coordination.
  • Act as a point of contact for third-party event organizers and community partners.
  • Provide tools, guidance, and support to facilitate successful internal and third-party fundraising events.
  • Track event activity and support appropriate follow-up and recognition.

 

Fund Development Support

  • Assist with donor-facing event coordination including guest lists, invitations, and registration processes.
  • Support sponsor and donor recognition at events.
  • Support the delivery of fundraising events and donor engagement activities.
  • Assist with post-event follow-up activities as directed.

 

Communications Support (Event-Related)

  • Coordinate event-related communications in collaboration with communications team members.
  • Support promotion through email, social media, and website updates.
  • Assist with capturing event content (photos, testimonials, stories).
  • Support the coordination of event-related communications.

Administration and Team Support

  • Maintain organized event records, materials, and contact lists.
  • Track attendance and basic event outcomes.
  • Support coordination across teams to ensure alignment and timely completion of tasks.
  • Respond to event-related and general inquiries as required.
  • Support cross‑departmental coordination related to relation to events and third-party initiatives, including working closely with the Community Strategies, Lead and Volunteer, Lead.
  • Support volunteers and internal stakeholders involved in events.

Required Qualifications/Experience

  • Post-secondary diploma or degree, or equivalent combination of education and experience
  • 1–3 years of experience in event coordination, administration, customer service, or community engagement

Preferred Qualifications/Experience 

  • Proficiency in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint)
  • Familiarity with CRM systems or event registration tools is an asset
  • Basic understanding of social media platforms, email marketing platforms, and design tools such as Canva.

Success measure: Events are consistently delivered with complete planning documentation, finalized logistics prior to execution, and post-event debriefs completed within established timelines.

Event Data Management and Reporting

• Maintain accurate and organized event records, including attendance, outcomes, and stakeholder interactions, to support tracking and future analysis.
Success measure: Event data is consistently captured, documented, and entered into tracking systems in a timely manner, with complete and up-to-date records maintained for all events.

Stakeholder and Participant Experience

• Support positive and professional experiences for donors, partners, and participants through effective coordination, communication, and follow-up.
Success measure: Events consistently meet internal quality standards, feedback is gathered where appropriate, and all donor, sponsor, and partner acknowledgements are completed accurately and promptly.

Working Conditions

  • Ability to work flexible hours, including evenings and weekends, based on event schedules
