Candidates need 5-10 years of progressive executive assistant experience, preferably supporting C-suite or Board-level leaders. Proficiency in Microsoft Office and bilingual fluency in English and French are strongly preferred.

We’re looking to connect with high-performing Executive Assistants who thrive in demanding international environments and know how to bring order, judgement, and discretion to complex executive support.
This is a pivotal role for someone who enjoys operating at pace, anticipating needs before they surface, and partnering closely with senior leaders to ensure their time, focus, and leadership rhythm are protected.
Own and optimize a complex executive calendar, confidently managing priorities, trade-offs, and shifting business demands
Coordinate leadership and governance meetings end-to-end: attendees, logistics, materials, follow-ups, and action tracking
Organize domestic and international travel, including multi-time-zone planning and contingency management
Produce polished, executive-ready outputs including presentations, briefing notes, and supporting documentation
Draft, edit, and proofread confidential correspondence with accuracy, professionalism, and discretion
Track and process expenses and invoices, ensuring timely completion and clear traceability
Support the planning and execution of leadership events, key meetings, and off-sites
Build effective working relationships across BIC and coordinate smoothly with internal stakeholders and external partners
Anticipate issues, solve problems proactively, and help ensure the smooth day-to-day running of a senior executive agenda
You are calm under pressure, detail-driven, and highly dependable. You know how to act as a trusted gatekeeper while maintaining an excellent stakeholder experience. You combine structure with agility, discretion with confidence, and autonomy with sound judgement.
You are comfortable supporting senior leaders in fast-moving environments, handling both strategic coordination and day-to-day execution with the same level of care and professionalism.
5–10 years of progressive Executive Assistant experience, ideally supporting C-suite, ExCom, or Board-level leaders
Strong experience in complex calendaring, executive prioritization, and international travel coordination
Exposure to international Finance environments is strongly preferred
Advanced Microsoft Office skills, particularly Outlook, PowerPoint, and Excel
Tech-savvy and comfortable working across devices and collaboration tools; iPhone/iPad administration is a plus
Bachelor’s or Associate’s degree preferred
Bilingual French and English strongly preferred
Flexible, hands-on, and willing to move seamlessly between high-level coordination and routine operational tasks

Qualifications
5–10 years of progressive Executive Assistant experience; C-suite/ExCom/Board exposure strongly preferred. Experience with international Finance organisations strongly preferred.
Strong expertise in complex scheduling/calendaring and international travel coordination
Advanced Microsoft Office skills (Outlook, PowerPoint, Excel—including building/maintaining spreadsheets)
Tech-savvy across devices; iPhone/iPad administration is required
Bachelor’s or Associate’s degree preferred
Bilingual English/French and international exposure strongly preferred
Flexibility and willingness to handle both strategic and routine tasks
