This position is located on site at our San Antonio office.
Job Purpose:
The Administrative Assistant is a primary liaison between the Agency Sales Representatives and the Company. This position works with remittances, accounting and agency support to ensure that the agent meets the standards, criteria and expectations of a WFG agent. This position requires excellent communication skills.
Essential Job Functions:
- Engage in WFG company culture that emphasizes our 4 Cs, quality of work and high performance.
- Support the Agency Sales Representatives regarding activities related to all assigned accounts, such as remittance processing, A/R clean up, E&O renewals, etc.
- Support the Agency Sales Representatives, as needed, during customer visitations and presentations (on site and virtual)
- Collaborate with Agency Sales Representatives to identify and implement efficiencies in the remittance, audit and compliance processes
- Support Agency Underwriting Counsel, as needed
- Liase between Agency Support and the Agent regarding AMS needs, including: user log in issues, appointments and cancellations, executions of and amendments to Schedule A.
- Run and resolve outstanding inventory reports with the Agent once/quarter.
- Run and distribute a premium report to the team once/week
- Process refund and write-off requests
- Support Agency Sales Representative with regard to the distribution, processing and approval of new applications
- Assist with Continuing Education compliance
- Maintain and service any existing agents that may be assigned to you
Knowledge, Skills and Abilities:
- Ability to prioritize projects and assignments.
- Excellent written and verbal communication skills.
- Strong command of Microsoft Excel, Word, and PowerPoint software.
- Strong organizational and planning skills for multitasking.
- Ability and confidence to develop original written language and correspondence for developing reports and proposals, as well as customer and field communications.
- Good people skills.
- Good analytical skills.
- Self-starter with strong work ethic and dedication to completing projects on time.
- Positive attitude, high energy level, strong desire to interact directly with customers, high comfort level making presentations, and ability/willingness to work additional hours as job requirements and projects require.
Basic Qualifications:
- High school diploma or equivalent.
- Strong Oral and written communication skills.
- Proficiency with computers, Microsoft Office Suite, CRM, and handheld devices.
- Ability to multi-task and work in a fast paced environment; strong organizational skills.
Preferred Qualifications:
- Bachelor’s degree in business, finance or related field.
- Familiarity with Excel
Supervisory Responsibility:
This position has no supervisory responsibilities.
Work Environment:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Requirements/ADA:
No unusual physical requirements. Requires no heavy lifting, and nearly all work is performed in a comfortable indoor facility.
Routine deadlines; usually sufficient lead time; variance in work volume seasonal and predictable; priorities can be anticipated; some interruptions are present; travel or other inconveniences have advance notice; involves occasional exposure to demands and pressures from persons other than immediate supervisor.
Job frequently requires sitting, handling objects with hands.
Job occasionally requires standing, walking, reaching, talking, hearing, and lifting up to 10 lbs.

Position Type/Expected Hours of Work:
Days and hours of full –time position are Monday through Friday, 8:00 a.m. to 5 pm.
