About this role

The Hong Kong Palace Museum (HKPM) is a dedicated museum that showcases the exquisite artefacts from Palace Museum’s collections and collaborates with other museums in research, exhibitions, education and public programmes. The museum comprises 7 800 square metres of gallery space for standing and special exhibitions on Palace Museum’s collections of paintings, calligraphy, antiquities and historical objects, as well as thematic displays on world cultures and civilisations.


(This is a fixed-term contract position of 2-year with possibility for renewal subject to organisational needs and individual performance.)

Candidate with less experience may be considered for the post of Assistant Venue Sales Officer


You will be responsible for:

  • Client Relationship Management: Respond to hotline inquiries promptly and manage all client communications through phone, email, and in-person meetings professionally.
  • Event Planning & Strategy: Collaborate with different teams to design comprehensive event plans, including timelines, venue usage and resource allocations aligned with client budgets and preferences.
  • Administrative Operations Support: Deliver end-to-end administrative assistance throughout the sales and event lifecycle.
    • Customize and manage essential documentation, including event application, quotations, and event orders.
    • Update sales kits, procedural guides, and information packages regularly.
    • Draft license agreements, process invoices, and prepare accounting documents.
    • Maintain precise, real-time records within the Venue Management System (VMS).
    • Execute post-event follow-ups and conduct client satisfaction surveys.
  • Cross-Functional Coordination: Coordinate with internal departments to guarantee seamless event operations.
  • Ad-hoc Duties: Execute additional tasks assigned by supervisors, displaying flexibility and adaptability to changing business needs.
    Performing any other duties from time to time as reasonably assigned by HKPM.

You should:

  • Education: Possess a recognized university degree in Hospitality Management, Event Management, Business Administration, or a related discipline.
  • Experience: Minimum of 3 years of relevant experience in venue sales or event management within luxury hospitality brands, or an equivalent combination of education and experience.
  • Core Competencies: Demonstrate strong organizational skills, high accuracy, and a proactive mindset. Ability to work independently and multitask within a fast-paced, dynamic environment.
  • Teamwork & Culture: Contribute to a positive, collaborative work environment with an excellent teamwork attitude and a solution-oriented mindset.
  • Technical Skills: Proficient in workplace computer applications, including Google Forms and the MS Office Suite (especially Word, Excel, and PowerPoint). Numerically sensitive and detail-oriented.
  • Language Proficiency: Fluency in written and spoken English and Chinese (including Cantonese and Putonghua).
  • Professional Standards: Maintain a high standard of professional appearance, grooming, and strict punctuality.
  • Flexibility: Ability to work irregular hours, including evenings, weekends, and public holidays, based on event schedules.
