Position Summary:  The Cosmetic Patient Service Representative is responsible for helping patients navigate the aesthetic process and serves as a liaison—or translator—between the patient and the provider. The Cosmetic Patient Service Representative will build and maintain relationships with patients and deliver consistent customer service excellence including, but not limited to: scheduling appointments, assisting in retail product sales, post appointment patient follow up, and a seamless patient check out experience.

Essential Duties and Responsibilities: 

    Greet patients warmly and provide unparalleled care consistent with the standards of a leading aesthetics medical practice.

    Responsible for loyalty program(s) education and sign up for new and existing patients during appointment check in (Alle, Alle Flash, Aspire etc.)

    Collect and enter all necessary demographic, forms, and billing information from patients or responsible parties

    Assist in end of the month inventory procedure

    Accurately collect and enter cash and credit card collections using multiple systems at time of service (TOS) 

    Cross train with Cosmetic Scheduler in order to provided coverage and teamwork when necessary

    Support the Cosmetic Manager in various billing tasks and reporting

    Ordering brochures and office supplies to ensure the office is properly stocked.

    Disbursing mail and packages

    Keep the front reception area organized, clean, and well stocked.

    Actively support and assist in driving sales for all aesthetic events and specials, including but not limited to daytime events, skincare events, virtual sales, evening open houses

    Make all pre appointment outbound calls to confirm with patients their arrival time, duration of appointment, pre-procedure and post-procedure care, etc.

    Routinely contact past and/or potential patients with the intent of generating additional encounters and consideration of future services

    Attend all training for skincare education and new treatments. 

    Assist in creating compelling and visually appealing content for various social media platforms while adhering to the Brand Ambassador policy and procedure

    Gather social media data and trends within the market to assist in finding growth opportunities and real time patient interest

    Collaborate with the Cosmetic Manager and team to ensure social media content up to date and relevant

    Experience with various social media platforms, adobe creative suite, Canva, and other graphic design and video editing.

    Other duties as assigned

Education and Experience Requirements:

    Previous experience in a healthcare setting, preferably as a Medical Receptionist in a cosmetic practice setting 

    Knowledge of medical terminology and procedures, including familiarity with cosmetic practice

    Understanding of cosmetic office procedures and the ability to handle high-pressure situations

Excellent communication skills and the ability to operate phone systems effectively

    Excellent written and oral communication skills.
