Position Details: 

  • Full Time 
  • Location: Van Nuys

Key Responsibilities:

  • Client care coordination - monitor the entrance and exit of clients in the Outpatient Department and Reception; greeting and check in of clients; provide information, when needed
  • Greet and check in all clients and family members, provide information, when needed
  • Maintain strict confidentiality of client
  • Assist Psychiatrists with appointment scheduling (including reminder calls) and support for medication services. translation services for psychiatric intakes and follow up appointments 
  • Provide administrative support to Outpatient Department and operations 
  • Relay all messages to appropriate parties
  • Update phone lists and communicate staff changes to Admin, HR, Payroll
  • Assist with intake procedures, phone screenings, transfers, grievance protocols

  • Oversee maintenance and repair of copy machine. fax machine and phones 

  • Administer and track OP DMH program client surveys throughout the year 

  • Assist with data entry related to case assignment outcomes information and tracking.

  • Assist with filing Psychiatrist billing logs and notes in charts 

  • Schedule conference rooms, assist with meeting preparation 

  • Ensured all employees are issued a labeled mailbox 

  • Maintain and order supplies 

  • Other duties as assigned 

Qualifications:

  • High School diploma or equivalent.
  • Minimum three years of office experience, computer proficiency, accurate typing skills; strong organization and time management skills.
  • Ability to work with people of diverse cultural, educational, socio-economic, and linguistic backgrounds.
  • Strong communication skills; customer service experience preferred.
  • Bilingual in Spanish required.
  • Translation experience preferred.

Salaries will vary based on various factors, including but not limited to, professional and academic experience, certification, training, responsibilities of the position, and other business and organizational needs.
