Summit Contracting Group, Inc. is currently looking for a Front Desk Administrator. The Front Desk Administrator – Atlanta Office serves as the first point of contact for employees, visitors, vendors, clients, and other guests entering or contacting Summit's Atlanta office. This position is responsible for creating a welcoming and professional office environment while providing day-to-day administrative and operational support to the Atlanta team.

 

This role requires someone who is dependable, organized, approachable, proactive, and willing to jump in wherever needed. The ideal candidate enjoys working with people, takes pride in keeping an office organized and running smoothly, and understands that even the smallest details can make a difference in the employee and visitor experience.

Because this position is responsible for opening and supporting the daily operations of the Atlanta office, consistent and reliable attendance is essential. Office Hours: Monday–Friday, 7:00 AM–4:00 PM

 

Essential Duties, Responsibilities and Functions include the following. Duties, responsibilities and activities may change or new ones may be assigned at any time with or without notice.

  • Serve as the primary point of contact at the Atlanta office front desk.
  • Greet employees, clients, vendors, subcontractors, candidates, and other visitors in a friendly and professional manner.
  • Notify appropriate employees when guests arrive and direct visitors to the correct location.
  • Answer and route incoming telephone calls professionally.
  • Maintain a clean, organized, and welcoming reception area.
  • Assist with visitor access and general office security procedures.
  • Receive and distribute incoming mail, packages, and deliveries.
  • Coordinate outgoing mail and shipments as needed.
  • Maintain awareness of meetings, visitors, interviews, and events taking place within the office.
  • Assist with opening the Atlanta office each morning and ensuring common areas are ready for the business day.
  • Monitor and maintain office, kitchen, breakroom, coffee, beverage, and general supply inventory.
  • Order and restock supplies before inventory becomes depleted.
  • Maintain organization and cleanliness of shared office spaces throughout the day.
  • Coordinate with building management and outside vendors regarding routine office needs.
  • Submit and follow up on maintenance or repair requests.
  • Assist with conference room scheduling, setup, and organization.
  • Prepare meeting spaces for internal and external meetings.
  • Assist with ordering and coordinating meals, refreshments, and catering for meetings and office events.
  • Maintain relationships with office-related vendors and service providers.
  • Assist with coordinating office equipment, furniture, supplies, and other operational needs.
  • Identify office issues proactively and communicate concerns to the appropriate person.
  • Scan, copy, print, organize, and distribute documents as needed.
  • Assist with maintaining electronic and physical files.
  • Help coordinate meetings, conference rooms, calendars, and other scheduling needs.
  • Assist employees with general questions and direct them to the appropriate department when necessary.
  • Support special projects and administrative assignments as requested.
  • Maintain confidentiality when handling employee, company, client, or project-related information.

They do not wait for every task to be assigned. They notice when supplies are running low, when a conference room needs attention, when a visitor needs assistance, or when an employee could use help—and take appropriate action. Most importantly, they understand that the front desk represents Summit. Whether interacting with a client, candidate, subcontractor, employee, or delivery driver, they create a professional, helpful, and welcoming first impression.

 

Qualifications

Education, Experience and Preferred Qualifications include the following.

  • High school diploma or equivalent.
  • Previous administrative, receptionist, office coordination, customer service, or related experience.
  • Excellent interpersonal and customer service skills.
  • Professional verbal and written communication skills.
  • Strong organizational and time-management abilities.
  • Ability to manage multiple responsibilities and changing priorities.
  • Strong attention to detail and follow-through.
  • Comfortable interacting with employees at all levels of the organization as well as external visitors.
  • Proficiency with Microsoft Outlook, Word, Excel, and other standard office technology.
  • Ability to learn new software and company systems.
  • Ability to work independently while maintaining regular communication with employees and leadership.
  • Experience coordinating office events, meetings, catering, or vendors.
  • Experience supporting multiple departments or managers.

 

Work Environment & Physical Demands

  • Primarily indoor professional office environment.
  • Regular interaction with employees, visitors, vendors, clients, and delivery personnel.
  • Frequent telephone, email, computer, and face-to-face communication.
  • May occasionally assist with company events or activities outside of normal front desk responsibilities.
