With a mission to affirm life at every step of the journey with illness and loss, TRU provides a continuum of care through TRU Hospice, TRU PACE (Program of All-Inclusive Care for the Elderly), TRU Palliative Care, TRU Grief Services, and Landmark Memory Care.
Title: Hospice Medical Records Coordinator
Schedule: Monday-Friday, 8am to 5pm
Pay: $19.14 to $23.10 per hour
Location: Louisville, CO
JOB SUMMARY
The Medical Records Coordinator is responsible for oversight and management of electronic and paper medical records and maintaining accurate, organized and secure patient records. This position ensures timely filing, scanning, and retrieval within compliance with all agency policies, HIPAA, state, federal and accreditation regulatory requirements for hospice and palliative care.
EDUCATION AND QUALIFICATIONS
- Minimum 1+ years of experience in a medical office environment that includes working with medical records
- Familiarity with Microsoft Word, Excel, and Windows
- Knowledge of medical terminology
- Comfortable using computers and learning new systems
- Able to pass required background checks and drug screening
- Able to meet agency health screening and immunization requirements
- High school diploma or equivalent
ESSENTIAL DUTIES
Medical Records Management
• Maintains accurate, complete, and compliant patient records in accordance with agency policies, HIPAA, and applicable regulatory and accreditation requirements.
• Reviews new charts for completeness and accuracy and ensures required documentation and physician signatures are obtained timely.
• Scans, uploads, updates, and maintains clinical documentation within the electronic health record (EHR) system.
• Processes medical record requests in accordance with HIPAA and agency requirements.
• Coordinates face-to-face scheduling and tracks completion in collaboration with physicians, NPs, and interdisciplinary team members.
• Supports billing, audits, and surveys by compiling, verifying, and maintaining required documentation and reports.
• Performs general clerical and administrative duties, including data entry, faxing, copying, filing, answering phones, and directing calls.
• Communicates with clinical and interdisciplinary teams to support timely and accurate documentation and record keeping.
Compliance and Team Support
• Supports compliance with agency policies, regulatory requirements, and documentation standards.
• Contributes to a collaborative and positive work environment and communicates effectively with internal and external customers.
• Participates in required meetings, training, and educational activities.
• Maintains competency with agency information and technology systems.
