The responsibilities of the Administrative Specialist will include but are not limited to, providing administrative support in the areas of file maintenance, electronic mail processing, data entry, and document processing.


Responsibilities

  • Process electronic mail as required.
  • Maintain and update bid database.
  • Process various document requests from customers and field personnel, including quotations, Safety Data Sheets (SDS), and Technical Bulletins.
  • Maintain files to ensure all necessary documents are file correctly and files destroyed on schedule.
  • Conduct routine maintenance of the online document storage center (Bizz Hub).
  • Proactively coordinate with administrative staff, field representatives, and customers on upcoming bids and contract extensions.
  • Process contracts, including ordering insurance certificates and bid and performance bonds.
  • Process contract extensions and bond continuations.
  • Complete online requirements of customers including vendor registrations.
  • Conduct active web searches for new bid opportunities both independently and from leads provided by subscription services.
  • Maintain inventory of office supplies.
  • General projects and additional tasks as required.

Qualifications

EDUCATION:

  • High school diploma or equivalent - High school diploma required.
  • Associate's Degree - Associate’s degree in business preferred.

EXPERIENCE:

  • 3 Years - Minimal experience is required, however, a minimum of three years of administrative support experience preferred.

KNOWLEDGE, SKILLS, ABILITIES:

  • Experience in sales support and/or customer service preferred.
  • Ability to work independently and in a team environment.
  • Ability to analyze and solve problems.
  • Must be Microsoft Office proficient at the intermediate to advanced level.
  • Ability to handle a fast-paced environment.
  • Consistent detail-orientation required.
  • Must be able to multi-task and adapt to sudden task changes.
  • Must be able to manage time to meet tight deadlines.
  • Ability to communicate effectively, both orally and in writing.
