DUTIES AND RESPONSIBILITIES

 

The Receptionist position is responsible for operating a multiline telephone system to answer incoming calls and direct callers to appropriate personnel or department.  The position also involves greeting on-site visitors as their first point of contact and handling various administrative duties as needed.

 

The incumbent will: 

 

  • Answer incoming telephone calls, determine purpose of call and forward calls to appropriate personnel or department
  • Retrieve messages from voice mail and forward to appropriate personnel
  • Take and deliver messages or transfer calls to voice mail when appropriate personnel are unavailable
  • Answer questions about organization and provide callers with address, directions and other information
  • Welcome on-site visitors, determine nature of business and announce visitors to appropriate personnel
  • Monitor visitor access 
  • Function as a notary public as needed
  • Prepare set up for monthly board meetings
  • Receive, sort and route mail to appropriate personnel or department
  • Meter mail and deliver to post office as needed
  • Order beverages, make coffee and check cleanliness of conference rooms
  • Perform other clerical duties as needed, such as filing, faxing, photocopying and collating
  • Responsible for being familiar with all compliance regulations and policies that are applicable to this position and follow and ensure compliance with these regulations and policies

MINIMUM QUALIFICATIONS

  • High school diploma or equivalent
  • One (1) year of experience working with customers 
  • Ability to follow instructions
  • Experience working in a fast-paced environment with frequent interruptions
  • Excellent verbal communication skills

 

PHYSICAL REQUIREMENTS AND ENVIRONMENTAL CONDITIONS

 

The physical requirements and environmental conditions of this position consist primarily of:

 

  • Sustained standing and sitting
  • Frequent use of PC, including typing or sustained attention to monitor 
  • Occasional lifting of basic office files or equipment up to 20 lbs
  • Normal office environment with comfortable internal temperatures and low level noise
