About this role

 

Position Summary: 

The Administrative Assistant supports Saweyihtotan’s management and staff by handling confidential information, coordinating administrative tasks, and supporting special projects.


Key Responsibilities:

  • Perform general office duties (answering calls, processing correspondence, maintaining supplies).
  • Maintain accurate records and filing systems.
  • Provide document preparation and data entry support.
  • Track receipts and invoices for company credit card purchases.
  • Maintain administrative systems, processes, and procedures.
  • Process registration applications and maintain the database.
  • Coordinate logistics for meetings and events, including travel arrangements and meeting materials.
  • Prepare documents (letters, memos, reports, agendas, presentations).
  • Assist with grant file management and related documents.
  • Process applications for registration and sponsorship using the online database.
  • Work with IT support to optimize the corporation’s website, database, hardware, and software.
  • Build and maintain positive relations with member First Nations, community groups, and other organizations.
  • Maintain confidentiality of sensitive information.

Education and Experience:

  • Office education certification from a recognized business school.
  • Grade 12 education with relevant post-secondary education (e.g., Business Administration, Accounting).
  • Minimum of three years of related experience.
  • Experience with confidential information.
  • Experience with First Nation governance or community development is an asset.

Skills and Abilities:

  • Proficiency in Microsoft Office Suite and databases.
  • Excellent interpersonal, verbal, and written communication skills.
  • Ability to work independently and as part of a team.
  • Strong attention to detail and accuracy.
  • Strong time management and organizational skills.
  • Ability to maintain confidentiality.
  • Valid Class 5 driver’s license.

  • Ability to meet tight deadlines and handle large volumes of work.
