Executive Assistant/ Business Operations
About this role
- Provide high-level administrative and strategic support to the CEO.
- Manage the CEO’s schedule, meetings, correspondence, and priorities.
- Prepare meeting agendas, presentations, reports, briefing materials, and summaries.
- Track decisions and action points from executive meetings and ensure timely follow-up.
- Conduct research and provide relevant insights to support the CEO’s decision-making.
- Act as a key liaison between the CEO, management team, employees, clients, and external stakeholders.
- Support the CEO in monitoring day-to-day business operations and organizational performance.
- Coordinate with various departments to ensure alignment with business priorities and deadlines.
- Identify operational gaps, inefficiencies, and areas for process improvement.
- Support the development and implementation of improved systems, processes, and workflows.
- Track key operational activities and provide regular updates to the CEO.
- Follow up with department heads and team members to ensure agreed actions are completed.
- Assist in preparing operational reports, performance updates, and management presentations.
- Coordinate and monitor strategic projects and initiatives assigned by the CEO.
- Develop project timelines, track deliverables, and ensure deadlines are met.
- Coordinate cross-functional teams and stakeholders involved in projects.
- Identify potential delays or challenges and escalate them appropriately.
- Support special projects such as business expansion, partnerships, product launches, process improvement initiatives, and other company-wide projects.
- Maintain clear documentation and progress reports for ongoing projects.
- Maintain a structured system for tracking key priorities, deliverables, and deadlines.
- Follow up with relevant team members on outstanding tasks and commitments.
- Help ensure that organizational priorities are translated into actionable tasks and completed within agreed timelines.
- Support the CEO in monitoring progress against business objectives.
Requirements
- Bachelor’s degree in Business Administration, Management, Operations, or a related field.
- 5–7 years of relevant professional experience, preferably in an Executive Assistant, Business Operations, Strategy, Management, or similar role.
- Previous experience supporting a senior executive or business leader is highly desirable.
- Demonstrated experience in business operations, process coordination, or organizational improvement.
- Strong project coordination or project management experience.
- Excellent organizational and time-management skills, with the ability to manage multiple priorities simultaneously.
- Strong analytical, problem-solving, and decision-making abilities.
- Excellent written and verbal communication skills.
- Strong interpersonal and stakeholder management skills.
- Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint.
- Familiarity with project management, task management, or business productivity tools.
- Ability to work independently, exercise sound judgment, and maintain confidentiality.
- Highly proactive, detail-oriented, resourceful, and results-driven.
