About this role

Reporting to the Controller, this Accounts Payable Clerk is responsible for timely and accurate processing of vendor invoices, payments, credit card transactions and supporting documentation for private country club. This position utilizes Bill.com and Jonas Accounting Software to manage electronic invoice approvals, vendor payments, document retention, and accounting system integration while maintaining strong vendor and internal department relationships. The work is fast paced with considerable contact with employees across the Club. This is a full-time position. You must be able to work overtime during busy times of the year (month-end and year-end particularly).

Duties and Responsibilities

  • Process vendor invoices through Bill.com and ensure proper coding, approvals, correct sales and use tax and mathematical accuracy with correct supporting documentation.
  • Monitor electronic approval workflows and follow up with department managers to ensure timely invoice approvals.
  • Prepare and process vendor payments via ACH, virtual card, and check in accordance with approved payment schedules.
  • Communicate with vendors regarding invoice status, payment inquiries, statement reconciliations, and discrepancy resolution.
  • Ensure invoices, receipts, and supporting documents are scanned, attached, and integrated into JONAS Accounting Software.
  • Verify invoices and payment transactions are accurately posted to the general ledger in a timely manner.
  • Administer and reconcile credit card transactions and monthly statements.
  • Obtain and maintain supporting receipts and documentation for all credit card transactions.
  • Maintain vendor records, including W-9 forms and tax reporting requirements.
  • Prepare and distribute annual Form 1099s and submit required filings to the IRS.
  • Assist with the administration and maintenance of ROM accounts.
  • Maintain and reconcile petty cash funds, ensuring all transactions are properly documented and approved.
  • Assist with month-end and year-end closing activities, account reconciliations, and audit requests.
  • Maintain organized electronic records and comply with the Club's document retention policies.
  • Recommend process improvements to enhance efficiency and strengthen internal controls.
  • Perform any other duties as assigned by Controller or CFO

Qualifications

  • High School diploma Associates degree preferred.
  • Experience with Bill.com is highly preferred
  • Proficient in Microsoft Office, particularly Excel
  • Experience working in a customer-facing job
  • Understanding basic bookkeeping and accounting skills is required
  • Hospitality experience is preferred
  • Speaks fluent English
