Role Summary
The Maintenance Operations Manager plays a vital role in ensuring the upkeep, safety, and overall appearance of community properties while supporting the Maintenance Team.
Responsibilities
Lead and manage maintenance and landscaping teams, including oversight of daily operations and performance
Administer vendor contracts, including procurement, coordination, and invoice approval
Conduct routine property inspections to ensure cleanliness, safety, and asset condition
Oversee risk management activities and implement mitigation measures
Serve as primary point of contact for homeowners and Board inquiries, including emergency response
Coordinate and manage emergency situations, including animal and pest control services
Maintain and oversee all Association-owned assets and amenities, including routine and deferred maintenance
Inspect completed work and ensure proper maintenance of equipment, machinery, and tools
Manage security and access systems, including gate operations, video surveillance, and communication platforms
Oversee water management systems, including irrigation, lakes, and wetlands in compliance with regulatory permits
Monitor water quality and maintain environmental standards
Prepare and submit required regulatory reports, including water use and compliance reports
Track rainfall data and maintain accurate environmental and maintenance records
Maintain documentation systems, including historical records, plans, and secure document disposal
Support community engagement by coordinating and assisting with events (setup, teardown, and participation)
Manage the relationship and meet with any association facilities maintenance committee members, or other similar committees regularly and provide feedback from the committee meetings to the general manager, board, and related association contractors
Provide administrative and front office support as needed

QualificationsRequired
Associate’s degree in a related field (e.g., Property Management, Real Estate, Facilities, Maintenance, Landscaping) or equivalent experience
5–10 years of relevant experience, preferably in real estate, property management, or community association operations
Industry involvement/certifications preferred (e.g., CAI membership, pesticide applicator license, hazardous materials certification)
Technical expertise in landscaping, irrigation systems, pumps/fountains, and small equipment operation and repair
Ability to read and interpret plans, drawings, and surveys
Strong leadership and team collaboration skills, with experience coordinating, directing, and coaching others
Excellent interpersonal and customer service skills with the ability to build and maintain professional relationships
Effective communication skills (written and verbal), with tact, discretion, and a high level of integrity and confidentiality
Strong critical thinking, judgment, and decision-making abilities; practical, common-sense approach to problem-solving
Highly organized and detail-oriented, with strong planning, prioritization, and follow-up skills
Ability to manage multiple tasks and adapt in a fast-paced, high-demand environment
Reliable, patient, and attentive, with strong listening skills and a positive, professional demeanor
Technologically proficient, with the ability to quickly learn and use computers, databases, and common software (e.g., Word, Excel, Google workspace)
Valid driver's license and clean driving record required
Desired
Prior experience/knowledge of cloud-based and on-site server systems (proprietary or other) including: Visitor Management System (VMS), Gate Software (DSX), Windows Server 2016, Desktop scanning and storage
Electrical and HVAC experience
Knowledge of laws regarding proprietary admittance and data collection from guests
Physical Requirements
Ability to stand and walk for extended periods throughout the workday.
Ability to climb stairs, ladders, bend, stoop, kneel, crouch, or reach frequently.
Ability to lift, carry, push, or pull objects up to 50 pounds regularly and occasionally heavier with assistance.
Manual dexterity to operate tools, equipment, and machinery safely.
Visual acuity to inspect equipment, read gauges, and perform detailed tasks.
Hearing ability to detect alarms, equipment sounds, and verbal instructions in noisy environments.
Ability to work in varying environmental conditions (heat, cold, dust, noise, outdoors).
Ability to wear and use appropriate personal protective equipment (PPE).
Ability to work varying schedules, including evenings, weekends, on-call, and overtime as required.
Position is primarily performed outdoors (approximately 85% of the time) involving common properties, lakes, wetlands, roads and amenities and home sites. Position can frequently be subjected to extended periods of extreme heat, inclement weather, dirt/dust, animals, insects and other unfavorable physical conditions. Outdoor community events participation and various meeting attendance, on-property is also required (periodically). Work is performed indoors approximately 15% of the time in an office setting.
