The Administrative Assistant/Lifestyle Coordinator is a portfolio-based position supporting multiple communities and combines administrative responsibilities with community lifestyle and event coordination. This role works closely with Community Association Managers (CAMs) and other team members to provide exceptional service to residents, Board members, and developer partners across an assigned portfolio of communities.

A significant focus of this position is the planning, promotion, coordination, and execution of community events and lifestyle programming. The Lifestyle Coordinator is responsible for helping create engaging experiences that encourage resident participation, strengthen community connections, and enhance the overall quality of life within the communities we manage.

Because each community is unique, the position requires the ability to manage multiple calendars, events, priorities, budgets, vendors, and community expectations simultaneously while maintaining a high level of organization and customer service.

Essential Duties and Responsibilities

Adhere to the company's guiding principles and established service standards, including responding to calls and emails within 24 hours.
Provide administrative and lifestyle support across an assigned portfolio of communities, effectively balancing priorities and deadlines among multiple associations.
Work closely with Community Association Managers to identify each community's lifestyle goals, event needs, budgets, and annual programming priorities.
Develop and maintain annual and seasonal event calendars for assigned communities.
Plan and coordinate a variety of community events, including holiday celebrations, family events, social gatherings, resident mixers, pool events, festivals, educational programs, contests, community service initiatives, and other Board-approved activities.
Manage events from concept through completion, including theme development, budgeting, vendor sourcing, proposals, contracts, scheduling, logistics, entertainment, food and beverage coordination, supplies, decorations, setup, event-day hosting, breakdown, and post-event follow-up.
Serve as an onsite host and VCM representative at community events, engaging with residents and helping create a welcoming, professional, and enjoyable experience.
Coordinate event setup, execution, and cleanup with CAMs, vendors, volunteers, and other team members.
Solicit competitive proposals and coordinate with event vendors, entertainers, caterers, rental companies, and other service providers.
Monitor event expenditures and work within each association's approved lifestyle and event budget.
Solicit and coordinate sponsorship opportunities when appropriate to supplement community event budgets and expand programming.
Create and distribute event promotions, themed flyers, community announcements, registration information, and other communications while following company and legal guidelines.
Manage community event calendars, RSVPs, registrations, attendance information, and related online content.
Assist with community email blasts, newsletters, event reminders, and other resident communications.
Recruit, organize, and coordinate resident volunteers when appropriate.
Provide support to resident-led clubs, committees, and groups as authorized by the association.
Conduct resident surveys and gather feedback regarding previous events, community interests, and ideas for future programming.
Maintain detailed documentation for community programs and events, including Event Planning Sheets, budgets, attendance, vendor information, Event Reviews, and post-event follow-up.
Prepare thank-you communications and vendor or sponsor acknowledgments as appropriate.
Welcome and assist new homeowners as required by individual communities, including providing community information, amenity information, website resources, event information, and applicable rules and procedures.
Assist with amenity access systems, key fobs, gate decals, mailbox information, and other resident services where applicable to the assigned community.
Provide amenity or community tours when required.
Serve as a resource and liaison among residents, the HOA, Community Association Manager, Board, developer, vendors, and other stakeholders.
Assist in maintaining community websites and resident information as assigned.
Address and help resolve resident and guest concerns within the scope of the position, escalating matters to the appropriate Community Association Manager when necessary.
Build positive relationships with residents across the assigned portfolio to promote participation, effective communication, community harmony, and strong customer satisfaction.
Maintain event supplies and inventory and coordinate purchasing based on the needs and approved budgets of individual communities.
Travel between assigned communities and attend events, meetings, and activities as required. Because community events may occur outside normal business hours, occasional evening and weekend availability is required.
Attend company meetings, training sessions, and departmental meetings as required.
Conduct business with the highest standards of personal, professional, and ethical conduct.
Demonstrate sound judgment, organization, creativity, and the ability to anticipate and resolve issues before they negatively impact an event or resident experience.
Effectively prioritize multiple projects, events, communities, and deadlines in a fast-paced environment.
Perform additional administrative, lifestyle, and community-related responsibilities as assigned.

The ideal candidate is highly organized, creative, outgoing, customer-service focused, and comfortable taking ownership of an event from the initial idea through execution.

This individual should enjoy interacting with residents, building relationships, coordinating vendors, hosting events, and creating memorable experiences while also possessing the organizational skills necessary to manage multiple communities, calendars, budgets, and priorities at the same time.

QualificationsEducation/Work Experience Requirements:

High school diploma or equivalent GED required.
Previous experience in an administrative capacity required.
Previous Event Coordinator experience preferred.
Excellent verbal and written communication skills, with the ability to effectively engage with both internal and external customers.
Maintain reliable transportation & a valid driver's license
Attend all mandatory company functions
Proficiency in MS Office applications (Word, Excel, and Outlook).
Ability to work under pressure, meet deadlines, and maintain a positive attitude while providing outstanding customer service.
Capability to work independently and complete assignments within given instructions, prescribed routines, and standard accepted practices.

Physical Requirements

Must be able to remain in stationary position 50% of the time.
The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, computer and printer.
Constantly positions self to maintain files in file cabinets
The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
The ability to observe details at close range (within a few feet of the observer).
Frequently moves boxes weighing up to 50lbs across community for various needs
Works in outdoor weather conditions while onsite preparing for events
Occasionally ascends/descends a ladder or stairs
