Reporting to the Student Support Services Supervisor, the Student Support Services Assistant supports the growing administrative demands of the department. This role is critical to keeping accommodation processes, testing logistics, and caseload records accurate and current, allowing the Student Support Services Supervisor to focus on direct student support. The role requires strong organizational skills and discretion with sensitive information. This is a part-time position, working approximately 20 hours a week.

Essential Duties Responsibilities

College Board & ACT Administration

Maintain student trackers and monitor submissions, approvals, denials, and appeals
Organize supporting documentation
Flag missing materials and upcoming deadlines
Update ACT registration and testing records
Prepare routine follow-up communications

Learning Profiles & Documentation

Enter and update approved accommodations following Director review
Maintain master accommodation lists
Organize student records
Track documentation and evaluation expiration dates

Testing Logistics

Prepare accommodation rosters, room assignments, and proctor schedules
Organize testing materials and instructions
Maintain computer-accommodation lists
Assist with end-of-semester and standardized testing logistics

Scheduling & Routine Communication

Schedule student check-ins and parent meetings
Send routine reminders and follow-up requests for missing evaluations/documentation
Collect teacher feedback
Prepare routine correspondence for Director review

Caseload & Data Management

Maintain accommodation spreadsheets and reevaluation calendars
Prepare College Board/ACT status reports and weekly action-needed lists
Flag students requiring follow-up

Faculty & Student Support Administration

Prepare faculty accommodation information and routine communications
Track forms and acknowledgments
Help ensure records and lists remain current throughout the year

Qualifications

Associate's degree or equivalent administrative experience. Bachelor's preferred
Proficiency with spreadsheets and standard office software
Experience in a school or student services setting preferred, but not required
Strong organizational skills and attention to detail
Strong written and verbal communication skills
Ability to maintain confidentiality of sensitive student records
Ability to manage multiple deadlines and prioritize tasks independently
