Position Summary
The Senior Payroll Specialist is responsible for the accurate, timely and compliant processing of national and global payroll. This role manages complex payroll activities, supports payroll-related reporting and audits, and serves as a knowledgeable resource for employees, managers and applicable vendors.
The ideal candidate has strong experience with ADP Workforce Now, multi-state payroll processing, international payroll coordination, timekeeping systems and FLSA compliance. This individual is detail-oriented, analytical and comfortable managing payroll cycles with a high degree of independence.
Key Responsibilities
- Process accurate and timely payroll for employees across multiple U.S. states and support international locations.
- Administer biweekly or other assigned payroll cycles, including payroll inputs, validations, payroll review and final approval.
- Manage complex payroll transactions, including regular and supplemental pay, overtime, bonuses, commissions, deductions, reimbursements, taxable benefits and adjustments.
- Process payroll using ADP Workforce Now, including reviewing calculations, maintaining payroll records and resolving system-related issues.
- Work with Global Payroll Director on global payroll activities with external providers, regional payroll contacts and internal stakeholders, including supporting implementation activities.
- Review payroll registers, funding reports and audit reports to identify and resolve discrepancies before payroll finalization.
- Support payroll tax, wage and hour, garnishment and regulatory compliance activities.
- Maintain knowledge of federal, state, local and applicable international payroll requirements.
- Interpret and apply FLSA rules, in partnership with human resources and legal, including exemptions, overtime calculations, regular rate requirements and recordkeeping obligations.
- Partner with HR, Finance, Benefits, Legal and operational teams on payroll changes, reconciliations and employee inquiries.
- Maintain employee payroll data and support integrations between HR, payroll and timekeeping systems.
- Review employee classifications, work locations, pay rates, schedules and time reporting for accuracy.
- Monitor timekeeping practices and help ensure compliance with company policy and applicable wage and hour regulations.
- Perform payroll reconciliations involving payroll liabilities, taxes, benefits, deductions and general ledger accounts.
- Generate recurring and ad hoc payroll reports for management, Finance and HR.
- Assist with year-end processing, including W-2s, international reporting, payroll reconciliations and audit support.
- Participate in payroll system enhancements, testing, process documentation and continuous improvement initiatives.
- Maintain confidentiality and safeguard sensitive employee and payroll information.
- Provide functional guidance and mentorship to payroll team members as needed.
- Communicates professionally and appropriately with employees, co-workers, and management.
- The duties of this position involve the exercise of independent discretion and judgment on matters of significance to the business.
- Provide operational and strategic support regarding high level matters that impact the operations of the business.
- Keep up-to-date knowledge, understanding, and compliance with all Federal, State, and Local laws and regulations, with functional area, and with Company policies and procedures.
- Maintain regular attendance, schedule adherence and timeliness which are required due to the production-based nature of the business and client requirements.
- Adhere to the practices outlined in the Information Security Management System
- Provide proactive feedback to management concerning potential problems and recommendations for improvement. Recommend process improvements for efficiencies and best practices.
Required Qualifications
- Bachelor’s degree in accounting, finance, human resources, business administration or a related field; equivalent professional experience may be considered.
- Five to seven or more years of progressively responsible payroll experience.
- Demonstrated experience processing payroll in ADP Workforce Now.
- Experience processing payroll across multiple states and supporting national or global payroll operations.
- Working knowledge of timekeeping systems, payroll integrations and employee time-entry processes.
- Strong understanding of FLSA requirements and federal, state and local wage and hour regulations.
- Experience with payroll reconciliations, audits and payroll reporting.
- Advanced attention to detail and the ability to identify and resolve discrepancies.
- Strong organizational and prioritization skills, with the ability to manage multiple payroll deadlines.
- Proficiency with Microsoft Excel, including formulas, sorting, filtering and data analysis.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion and professionalism.
Preferred Qualifications
- Experience coordinating payroll across multiple countries or regions.
- ADP Workforce Now reporting, configuration or implementation experience.
- Certified Payroll Professional designation or Fundamental Payroll Certification.
- Experience with payroll provider relationships and service-level management.
- Knowledge of international payroll, taxation and employment practices.
- Experience supporting payroll audits, compliance reviews or system conversions.
- Experience in a fast-paced, multi-entity or multinational organization.

Work Environment
It requires regular management of confidential information and occasional extended hours during payroll close, quarter-end or year-end processing.
Payroll certification preferred. ADP Workforce Now, multi-state payroll and global payroll experience are strongly preferred.
