Schedule: Monday–Friday, 8:30 AM–4:30 PM

High Focus Centers, part of Pyramid Healthcare, is seeking a friendly, organized, and dependable Administrative Office Coordinator to join our outpatient behavioral healthcare program in Radnor, PA.
In this front-office role, you'll be an important part of the client experience, helping create a welcoming and professional environment for individuals receiving behavioral health services. You'll work closely with our psychiatric, clinical, and administrative teams, providing the coordination and support needed to keep our outpatient program running smoothly.

What You'll Do
As the Administrative Office Coordinator, you'll play a key role in the day-to-day operations of our outpatient behavioral healthcare program. Responsibilities include:
- Serve as a welcoming and professional first point of contact for clients, visitors, and callers.
- Support a positive, respectful, and welcoming environment for clients receiving behavioral healthcare services.
- Manage front desk and receptionist responsibilities while helping ensure smooth daily program operations.
- Provide administrative support to psychiatric, clinical, and administrative staff.
- Prepare client charts and assist with collecting copays and other required information.
- Schedule appointments and coordinate medical record requests.
- Maintain accurate and up-to-date clinical and administrative records.
- Handle sensitive client information with professionalism, discretion, and confidentiality.
- Respond to challenging or sensitive phone calls with patience, professionalism, and excellent customer service.
- Help ensure office equipment is maintained and functioning properly.
- Manage office supply orders and inventory.
- Assist with petty cash and weekly bank deposits.
- Support additional administrative and operational needs as they arise.

Required:
- High school diploma or equivalent.
- Strong attention to detail and accuracy, especially with data entry and recordkeeping.
- Excellent customer service, communication, and interpersonal skills.
- Ability to work collaboratively with psychiatric, clinical, and administrative staff.
- Strong organizational skills and the ability to manage multiple tasks effectively.
- Strong problem-solving and decision-making abilities.
- Ability to remain professional, compassionate, and composed when handling challenging situations or sensitive conversations.
- Commitment to providing a welcoming and respectful experience for clients and families.
