Expedite Specialist

Location: ProTrans Corporate Office
Reports To: Operations Supervisor
FLSA Status: Exempt

Position Summary

ProTrans is seeking an experienced and customer-focused Expedite Specialist to support the coordination and execution of expedited transportation services. This role is responsible for managing shipments throughout their lifecycle, ensuring timely delivery, maintaining accurate transportation data, and providing exceptional customer service. The Expedite Specialist serves as a key point of contact between customers, carriers, suppliers, and internal teams to ensure efficient and cost-effective transportation solutions.

Key Responsibilities

  • Track, monitor, and manage expedited shipments from pickup through final delivery.
  • Proactively communicate shipment updates and status reports to customers.
  • Resolve shipment issues, delays, and service concerns through effective problem-solving and customer service.
  • Maintain accurate and timely shipment information within the Transportation Management System (TMS).
  • Support charter, hand-carry, and ground expedite transportation operations.
  • Bid, schedule, and dispatch shipments while ensuring compliance with operational procedures.
  • Assist with shipment bookings, documentation, tracing, and delivery coordination.
  • Maintain knowledge of brokerage and customs services to support shipment requirements.
  • Monitor and report key performance indicators (KPIs) and operational metrics as assigned.
  • Collaborate with carriers, suppliers, customers, and internal stakeholders to ensure seamless service execution.
  • Follow company policies, procedures, and communication standards, including email and Microsoft Teams best practices.
  • Identify opportunities for process improvements and communicate recommendations to leadership.
  • Participate in team meetings, operational reviews, and cross-functional training initiatives.
  • Support team coverage and business continuity through cross-training and collaboration.
  • Protect company interests while maintaining a high level of service and professionalism.

Qualifications

Required Education & Experience

  • High school diploma or equivalent required.
  • Experience in transportation, logistics, or supply chain operations preferred.
  • Strong understanding of expedited transportation, including:
    • Charter services
    • Hand-carry shipments
    • Ground expedite operations
  • Knowledge of brokerage and customs-related services.
  • Experience working with Transportation Management Systems (TMS) and transportation software.
