Role Summary:

The Executive Assistant supports the partners of our growing firm. Partners are the driving force behind our firm's client relationships and growth, and this role exists to protect and extend their ability to do that work. Executive Assistants as Penta serve as trusted extensions of the partners’ judgment, time, and priorities. The successful candidate will have previous experience supporting executives with their scheduling and administrative needs, and experience demonstrating the utmost discretion with sensitive matters.

The Executive Assistant is expected to:

  • Own and manage partners’ calendars with a strategic lens, proactively resolving conflicts, prioritizing high-value activities, and protecting time for deep work
  • Assist in client management and business development responsibilities, preparing research and materials for meetings and providing day and week ahead background briefings
  • Develop strategies to increase the efficiency of partner schedules, including through the shared use of AI platforms
  • Manage expense reporting, reimbursements, and budget tracking with complete accuracy
  • Coordinate domestic and international travel, including detailed itineraries, contingency planning, and real-time adjustments
  • Support partners with Salesforce needs to ensure all data is accurate and completed in a timely manner
  • Handle highly sensitive, confidential, and proprietary information with absolute discretion
  • Multi-task and prioritize multiple, competing demands while maintaining a high-quality outputs
  • Coordinate external networking opportunities
  • Complete ad-hoc tasks as they arise

The ideal candidate will have:

  • A Bachelor’s degree in any discipline, where a degree in Business Administration, Organizational Development, Political Science, Economics, or another relevant field is preferred
  • 3-5 years of experience supporting executives, ideally in a professional services environment
  • Strong customer service mentality and ability to take initiative and solve problems creatively and efficiently
  • Excellent verbal and written communication skills required
  • Strict attention to detail and strong organization skills, understanding the importance of accuracy in all internal and external matters
  • A high degree of integrity, with the ability to maintain professionalism and confidentiality at all times
  • The ability to utilize AI and emerging technologies, where appropriate, to enhance efficiency, quality, and impact, while staying current on evolving capabilities and incorporating relevant innovations into day-to-day work
  • A team player mentality with a positive attitude and friendly demeanor
  • Ability to embrace change and maintain a continuous learning mindset

Salary Range:

The base salary range for this position will be $75,000 - $85,000 per year depending on a candidate’s experience and qualifications as they relate to the position.

Location and Hybrid Schedule:

For this position, we are only considering applicants in the greater Washington, D.C., area and looking to fill the role as soon as possible. This person will be expected to join our team in our downtown DC office in person Monday through Thursday and has the option to work remote on Fridays.
