Job Summary
We are seeking a highly organized, resourceful, and technology-forward Project Coordinator & Office Manager to drive execution across Multifamily Operations, Construction, Procurement, and Litigation.
This is a hands-on coordination role for someone who creates structure, keeps multiple workstreams moving, and uses AI and technology to make work faster and more effective. The ideal candidate is highly accountable, anticipates next steps, follows through relentlessly, and enjoys building better systems for how teams communicate, track work, and execute.
The right person will make teams more organized, more informed, and more effective by creating structure, driving follow-through, and ensuring projects do not lose momentum between meetings or departments. They will be known for responsiveness and practical problem-solving, and will actively use AI, technology, and strong project-management practices to make work easier, faster, and more consistent.
Responsibilities
AI, Technology & Process Improvement
- Use AI tools to turn meetings, notes, emails, and source materials into summaries, action plans, project documentation, research, and first drafts.
- Leverage AI to build presentations, compare information, synthesize data, create templates, and accelerate routine project work while maintaining strong judgment and accuracy.
- Identify repetitive or manual workflows that can be simplified through AI, automation, or better use of existing systems, and help implement practical solutions.
- Build repeatable templates, SOPs, trackers, prompts, and lightweight workflows that improve consistency, speed, and accountability across teams.
- Quickly learn new systems and become a go-to resource for technology adoption, helping teams use available tools more effectively.
Project Coordination & Execution
- Own follow-up from project meetings, track open action items to completion, and proactively flag risks, dependencies, and potential delays.
- Create concise project updates and dashboards that give stakeholders visibility into priorities, progress, blockers, and next steps.
- Own special projects and cross-functional initiatives from initial planning through implementation and closeout.
Office Management & Operations
- Oversee day-to-day office functionality, organization, readiness, and employee and visitor experience.
- Manage office supplies, equipment, facilities requests, building and vendor coordination, and general workplace needs; track issues through resolution.
- Coordinate workspace setup and office onboarding logistics for new hires, partnering with HR and IT to ensure employees are ready on day one.
- Organize office events, team lunches, visitors, vendor access, and other workplace logistics as needed.
Qualifications
- 5+ years of experience in project coordination, office management, operations, implementation, or a similarly execution-focused role.
- Demonstrated ability to manage multiple projects and workstreams simultaneously, with strong ownership of deadlines, dependencies, and follow-through.
- Strong project coordination skills, including building trackers, documenting decisions, driving action items, and communicating status clearly to stakeholders.
- Advanced comfort with technology and a genuine interest in AI, automation, and emerging productivity tools; hands-on experience using AI in day-to-day work strongly preferred.
- Exceptional organizational skills, attention to detail, and written and verbal communication.
- Strong judgment, resourcefulness, and comfort working with confidential or sensitive information.
- Ability to work independently, anticipate what is needed next, and shift quickly among priorities in a fast-paced environment.
- Experience in real estate, property management, construction, procurement, legal operations, or another project-driven environment is a plus.
