ESSENTIAL JOB FUNCTIONS
Event Planning & Coordination
- Coordinate all phases of event planning and execution for hosted events, trade shows, conferences, seminars, workshops, Area Sales Manager (ASM) events.
- Develop event plans, project timelines, RACI matrices, and event briefs to align stakeholders and track deliverables.
- Research venues, obtain proposals, negotiate costs, and coordinate contracts and logistics.
- Manage event registration processes, attendee communications, and registration reporting.
- Coordinate catering, accommodations, transportation, and other event logistics while addressing dietary restrictions and special requirements.
- Create event memo summarizing event objectives, schedules, logistics, attendees, and key contacts.
- Manage project tasks and workflows through JIRA and other project management tools.
- Prepare packing lists for event shipments.
- Coordinate ordering, shipping, tracking, and inventory management of event materials, giveaways, and booth assets.
- Plan annual event calendars and coordinate hosted event schedules around key industry conferences and Area Sales Managers (ASM) planned events.
- Create and maintain event records within CRM platforms, including registration details, sessions, attendee data, budgets, and performance metrics.
Virtual Event Management
- Plan and execute virtual events and product launches and demonstrations.
- Manage Webex event setup, registration pages, attendee communications, and technical support.
- Coordinate event schedules with presenters, speakers, and internal stakeholders.
- Conduct speaker preparation sessions and rehearsals to ensure event expectations.
- Monitor virtual event performance metrics, registrations, attendance, and audience engagement.
- Provide live support during virtual events, including troubleshooting and session moderation.
Event Execution & On-Site Support
- Serve as the primary coordinator for regional industry trade shows and customer events.
- Coordinate exhibit logistics, booth setup, shipping, installation, and dismantling activities.
- Manage relationships with event organizers, venue staff, exhibit vendors, and service providers.
- Support speakers and presenters before and during events.
- Provide on-site event management, attendee support, and logistical coordination.
- Coordinate event receptions, dinners and social activities.
- Travel to key industry events and company hosted events/meetings as required (approximately 4-5 times annually).
- Support sales-driven events, including seminars, workshops, and lunch-and-learns.
Marketing Communications & Event Promotion
- Coordinate the development and distribution of event marketing materials and promotional campaigns.
- Collaborate with internal and international teams to develop graphics, signage, advertisements, and event collateral.
- Create and schedule social media content, including LinkedIn posts, speaker announcements, and event promotions.
- Assist in developing event landing pages, email campaigns, invitations, and attendee communications.
- Prepare PowerPoint presentations and speaker materials for hosted events.
- Draft and distribute post-event communications, including thank-you emails, surveys, and follow-up
Content Creation & Brand Support
- Create engaging content to promote events before, during, and after execution.
- Capture event photography and video content for marketing, social media, and corporate communications.
- Assist with internal photoshoots; headshots, team photos and sales meeting.
- Collaborate with OMICRON Academy for content.
- Ensure all event communications and materials align with corporate branding standards.
Reporting & Lead Management
- Collect, manage, and upload event-generated leads into CRM systems.
- Coordinate post-event reporting with event leaders and sales teams.
- Prepare reports on attendance, engagement, lead generation, campaign effectiveness, and event ROI.
- Analyze attendee feedback and satisfaction surveys to identify opportunities for improvement.
- Maintain event dashboards and reporting tools to track performance across programs and campaigns.
- Support lead follow-up initiatives and ensure timely distribution of event leads to sales teams.
KNOWLEDGE, SKILLS AND ABILITIES
- Prior Marketing Event and Trade Show Experience desired
- Have an eye for graphic design skills including experience with Photoshop and InDesign
- Ability to multi-task in a deadline-driven atmosphere with multiple competing priorities
- Strong knowledge of Microsoft Office programs (Word, Excel, PowerPoint)
- Knowledge of CRM Systems (e.g. Microsoft Dynamics)
- Experience with Adobe Creative Cloud (graphic design, video editing) preferred
- Must have strong organizational skills and pay close attention to detail
- Excellent communication skills (oral and written)
- Enjoy working in a small team environment part of an international company
- Flexibility, a can-do attitude, and willingness to pitch in; strong team player.
- Available to participate in company's promotional activities (exhibitions, conferences, etc).
- Ability to travel 4-5 times per year.
- B2B Marketing Experience preferred
WORK EXPERIENCE REQUIREMENTS
- Two to four years of relevant work experience in event planning, event marketing, program or project management, marketing communications or related fields.

EDUCATION REQUIREMENTS
- Bachelor’s degree from an accredited school or university in Business Administration, Marketing Communications, Public Relations, or similar field; or equivalent work experience considered.
