Job Description - Finance Administrator-Accounts Receivable

 

 Role Overview 

The Finance Administrator is responsible for supporting the day-to-day financial operations of the business through a combination of accounts receivable, administrative, customer service, and transactional accounting activities. Working closely with the finance team, this role helps ensure the accurate processing of payments, maintenance of financial records, and delivery of exceptional service to both internal and external customers. The Finance Administrator plays a key role in supporting cash management, collections, account reconciliation, and the overall efficiency of the finance function. 

Key Responsibilities 

Accounts Receivable Administration 

  • Serve as a core member of the Accounts Receivable team, supporting collection and payment processing activities. 
  • Process customer payments received via EFT, credit card, e-transfer, and cheque. 
  • Answer and respond to inquiries received through the AR department phone queue. 
  • Process customer credit card payments and maintain accurate payment records. 
  • Conduct regular collection activities and follow up on overdue accounts. 
  • Investigate account discrepancies and support resolution efforts. 

Cash Management & Reconciliations 

  • Prepare and process daily bank deposits. 
  • Review, audit, and reconcile daily and monthly cash book activity. 
  • Ensure customer payments are applied accurately and in a timely manner. 
  • Assist with balancing and maintaining accurate financial records. 

Customer Service & Account Support 

  • Manage finance department inboxes and customer correspondence. 
  • Respond to inquiries regarding invoices, statements, payments, and account balances. 
  • Provide professional and timely customer service via phone and email. 
  • Build positive relationships with customers while supporting timely account resolution. 

Finance Operations Support 

  • Support transaction processing across Accounts Receivable, Accounts Payable, and Client Billing functions as required. 
  • Adhere to established financial controls, policies, and procedures. 
  • Assist with departmental administrative tasks and special projects. 
  • Provide support to other areas of the finance team during periods of peak workload or absence

Other Duties 

  • Perform other duties and responsibilities as assigned. 

Success Measures 

  • Customer payments are processed accurately and applied on a timely basis. 
  • Cash reconciliations and deposits are completed accurately and on schedule. 
  • Customer inquiries are resolved promptly and professionally. 
  • Collection activities support effective management of outstanding receivables. 
  • Financial records are maintained accurately with strong attention to detail. 
  • Finance policies, procedures, and internal controls are consistently followed. 
  • Positive working relationships are maintained with customers and internal stakeholders.
