About this role

The role:

We have an exciting opportunity for a passionate individual to become a valued member of our dynamic team. Working as a Receptionist in a friendly and supportive team, you will provide administrative and operational support to the whole Warsaw Team.

You will be responsible for:

  • Providing courteous, efficient and cheerful reception service to visitors and callers, responding to enquiries both face-to-face and over the telephone and via e-mail,
  • Managing entrance cards with accordance to the office security procedures,
  • Receiving and sending parcels and mail,
  • Organizing airport transfers and other local transfers for overseas colleagues and Warsaw employees,
  • Helping with organizing meetings and events,
  • Managing conference room system and coordinating meetings in calendar,
  • Managing document filing ensuring compliance with MBDA process and local requirements, including maintenance of invoices,
  • Maintaining office equipment and provide stationery, catering services etc.,
  • Maintaining contact with cleaning service company, transfer company and other companies supporting the office,
  • Managing low value office purchases, record office expenditure accordingly with MBDA processes,
  • Developing to become the knowledge point of contact within the Warsaw Office,
  • Supporting General Manager and Office Manager on ad-hoc requests.

What we are looking for from you:

  • Minimum 2 years of experience in administration role in similar position,
  • Advanced English ( min. C1),
  • Very good knowledge of MS Office,
  • Excellent communication & interpersonal skills,
  • Respectful team player, comfortable working in a matrix organization ,
  • High self-reliance, responsibility and ability to plan and organize work,
  • Ability to work proactively and independently,
  • An open-minded team-player with a friendly personality willing to learn and develop new skills,
  • Ability to think and act in a customer- and service-oriented manner,
  • Ability to manage multiple tasks simultaneously.
