Position Overview:

The Office Administrator is an essential part of each local division by keeping the offices running smoothly and by carrying out a range of administrative, financial and managerial tasks. The office managers ensures that the offices they look after are running effectively on a day-to-day basis. The range of activities include but are not limited to monitoring/reporting health and safety to assisting with HR and payroll tasks. They are often the ‘go-to’ person at the division  as they work closely with many departments and understand how they work.

 

Reporting Relationships:

 

  • Direct Reports: administrative office staff
  • Reports To: Division President

 

Duties and Responsibilities:

  • Supervise and support the administrative functions of the divisional office team, support the organization's accounting management duties, and work alongside sales and production staff.
  • Maintain all administrative systems and manage administrative personnel.
  • Oversee Accounts Payable.
  • Oversee the process of sales contracts, building permits, and coordination of settlements.
  • Division liaison to Maronda Inc. corporate HR and Payroll department. 
  • Process any change orders while ensuring that PO's and colors are updated and the field/ trade managers are aware of these changes.  
  • Ordering sales office set ups: assigning a phone number and setting up the internet.
  • Assist with setting up vendors and updating pricing in our accounting system.
  • Assist Division President with operational processes.
  • Other duties as assigned.

Required Education/Experience:

  • High School Diploma, minimum 2 years in the Homebuilding industry
  • 2 years minimum, accounting experience

 

 

Skills and Abilities:

  • Proficient in Microsoft Office Suite
  • Effective verbal and written communication skills
  • Self-starter able to work independently and with the administrative team
  • Excellent problem analysis, follow up, and control skills with a strong attention to detail

 

 

Work Conditions/Physical Requirements

  • Must be able to sit in desk chair for long periods
  • Must be able to lift 25-30 lbs (stocking office supplies, paper, etc.)
