We are currently seeking an experienced, dependable, and detail-oriented Dispatcher to join our growing team. The ideal candidate is highly organized, an effective communicator, and capable of coordinating multiple priorities while ensuring specimen collection orders are assigned accurately and efficiently.

Position Summary

The Dispatcher is responsible for the efficient and accurate coordination and assignment of blood draws and other specimen collection orders to members of the Mobile Phlebotomy team. This position ensures that assignments are appropriately scheduled and distributed based on facility requirements, collection priorities, location, and operational needs.

The Dispatcher also supports communication between Mobile Phlebotomists, client facilities, couriers, billing, and other internal departments to help ensure timely specimen collection and laboratory service.

Essential Duties & Responsibilities

  • Accurately and efficiently assign blood draws, swabs, and other specimen collection orders to Mobile Phlebotomy team members based on facility and operational needs.
  • Review incoming collection requests and confirm that all orders are assigned correctly and in a timely manner.
  • Accurately enter incoming orders and standing orders into the appropriate system.
  • Monitor assignments and make necessary adjustments based on changes in workload, priority, staffing, or facility requirements.
  • Communicate clearly and professionally with Mobile Phlebotomists regarding assignments, scheduling updates, and changes.
  • Assist the Billing Department with missing or incomplete information and follow up with clients as necessary.
  • Coordinate and schedule courier pickups when needed to support timely specimen transportation.
  • Complete all required documentation accurately and within the scheduled workload.
  • Maintain accurate records of orders, assignments, communications, and other required information.
  • Collaborate effectively with Mobile Phlebotomy, laboratory, billing, courier, and other internal teams to support daily operations.
  • Demonstrate strong attention to detail and promptly address scheduling or order-related issues.
  • Maintain professionalism and confidentiality when handling patient, client, and laboratory information.
  • Follow supervisor instructions and perform other duties as assigned.

Skills & Abilities

  • Proficiency in Phlebio and other Laboratory Information Systems (LIS).
  • Proficiency in Microsoft Office applications, including Outlook, Teams, and Word.
  • Excellent verbal and written communication skills.
  • Strong time-management and organizational skills.
  • Exceptional attention to detail and accuracy.
  • Strong problem-solving and decision-making skills.
  • Ability to prioritize and coordinate multiple assignments simultaneously.
  • Ability to work effectively in a fast-paced environment with changing priorities.
  • Ability to communicate and collaborate effectively with Mobile Phlebotomists, clients, couriers, and internal departments.
  • Dependable, professional, and adaptable to changing operational and facility needs.

Experience

  • Three to five years of related experience and/or training, or an equivalent combination of education and experience, required.
  • Previous dispatching or scheduling experience within laboratory services, mobile phlebotomy, healthcare, or a related environment, preferred.

Education

  • High School Diploma, General Education Degree (GED), or equivalent required.

Supervisory Responsibilities

None.

Work Conditions

  • Primarily an office-based position requiring consecutive hours of sitting at a desk and working on a computer.
  • Regular use of multiple monitors, keyboard, mouse, telephone, and other standard office equipment.
  • Frequent computer and data-entry work requiring repetitive use of hands and fingers for up to 100% of the workday.
  • Ability to lift up to 10 pounds.
  • Ability to manage multiple assignments and communications in a fast-paced work environment.
