Rehabilitation Authorization Coordinator

Department: Rehabilitation Department

Reports to: Director of Rehabilitation 

                                             

 

Overview of the position: 

The Rehab Authorization Coordinator is responsible for obtaining, tracking, and maintaining insurance authorizations for Occupational Therapy (OT), Physical Therapy (PT), and Speech Therapy (ST) services. This position ensures timely approvals, accurate documentation, and seamless coordination between insurance carriers, therapists, clinic staff, and patients to prevent delays or interruptions in care.

 

Essential Duties and Responsibilities

 

  • Obtain authorizations for OT, PT, and Speech Therapy services
  • Verify insurance benefits, visit limits, and authorization requirements
  • Communicate with insurance carriers, managed care organizations, and utilization review departments
  • Submit required clinical documentation including evaluations, progress notes, and treatment plans
  • Track authorization approvals, denials, extensions, and expiration dates
  • Follow up on pending authorizations to ensure timely payer responses
  • Assist with appeals for denied, reduced, or discontinued therapy authorizations
  • Accurately document authorization details in the shared drive
  • Notify DORs of authorization status and coverage limitations when appropriate
  • Maintain compliance with payer guidelines, HIPAA, and regulatory requirements

 

Required Qualifications

  • Prior experience with therapy or medical authorizations
  • Knowledge of insurance plans, managed care, and prior authorization workflows
  • Strong organizational and time-management skills in a remote environment
  • Excellent verbal and written communication skills
  • High attention to detail and follow-through
  • Ability to manage multiple authorizations and deadlines independently
  • Proficiency with EMR systems, insurance portals, and standard office software
  • Reliable internet connection and ability to work independently from home

 

Preferred Qualifications
 

  • Experience in outpatient OT, PT, or Speech Therapy settings
  • Familiarity with therapy visit limits, medical necessity, and payer documentation requirements
  • Experience with authorization appeals and utilization review
  • Prior remote healthcare or administrative work experience

 

Work Environment

  • In-office or remote with occasional travel to facilities
  • Standard business hours with flexibility as defined by the organization
