About this role

 
The Administrator Order Processing/Purchasing consists of processing all departmental purchase orders, delivery and deadline monitoring, and invoice verification. Preparation of freight documents and contact person for logistics partners and customs authorities.
 
Responsabilities
  • Cooperation with/and processing of valid customer orders across all divisions.
  • Process orders according to quotation specifications, and monitor delivery dates through invoice verification
  • Determining requirements at short notice, obtaining quotations, initiating orders, monitoring deliveries, complaints, checking invoices and archiving all relevant documents.
  • Packing and shipping of technical equipment, preparation of shipping documents. 
  • Focal point for local logistics partners and customs authorities.
  • Statistical reporting (INTRASTAT)
  • Preparation and drafting of outgoing invoices for already processed deliveries and/or services, as well as milestone billing.
  • Preparation of order confirmations based on quotations, delivery bills and freight documents for deliveries of goods. 
  • Procurement of materials/determination of requirements, support in the preparation of quotations, invoicing, invoice verification and release.
  • Communication misc. & Purchase/PM USA, Germany, China, Japan, Brazil
 
 
Skills & Knowledge
  • Experience in dealing with materials/merchandise management systems
  • Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • ERP knowledge
  • Language skills in English
  • Time flexibility
  • Ability to work independently and collaboratively in a team environment.
  • Accuracy, diligence, and discretion; affinity for numbers 
  • Good interpersonal communication skills
  • Team working attitude
