JOB PURPOSE / POSITION OVERVIEW
The Senior Proposal Specialist serves as a lead contributor in the development, coordination, and production of high-quality proposals, qualifications packages, presentations, and marketing materials that support business development efforts. This role works closely with the Proposal Manager, operations leaders, project teams, estimators, and executive leadership to position Haydon Companies for success in qualifications-based and alternative delivery pursuits.
The Senior Proposal Specialist independently manages complex pursuits, provides guidance and mentorship to junior proposal staff, and serves as a subject matter resource for proposal strategy, content development, and pursuit best practices. This includes owning the proposal strategy and  advising teams on messaging and win strategies.
 

DUTIES / RESPONSIBILITIES
Proposal Development & Coordination
•    Work with project team to develop overall proposal strategy.
•    Lead pursuit kickoff meetings.
•    Determine proposal themes.
•    Identify differentiators.
•    Develop win strategies
•    Collaborate with operations, preconstruction, project management, and executive leadership to gather technical information and develop compelling proposal content.
•    Produce high quality Statements of Qualifications, proposals, and interview presentations to win qualifications-based work.
•    Proactively conduct research in preparation for kick-off meetings and interview preparation, including site/building information, competition, etc..
•    Lead interview meetings.
•    Manage major pursuits with minimal oversight.
•    Resolve pursuit issues independently.
•    Prioritize workload across multiple pursuits.
•    Monitor Clients’ Procurement Portal for addenda, Q&A, and other submission information, as well as upload the final submission.
•    Ensure proposal quality, accuracy, consistency, and adherence to company branding standards.
•    Guide project team by assigning tasks, following up on deadlines, and ensuring compliance to all Owner requests.
Content Development
•    Write, edit, and enhance executive summaries, project descriptions, team qualifications, and other proposal content.
•    If necessary, interview project team members and write technical narrative ,for them to review.
•    Develop persuasive, client-focused messaging that clearly communicates Haydon’s value proposition and differentiators.
•    Maintain and improve proposal templates, boilerplate content, resumes, project sheets, and pursuit materials.
•    Support development of graphics, infographics, and visual storytelling elements that strengthen proposal submissions.
Leadership & Mentorship
•    Provide day-to-day guidance, training, and mentorship to Proposal Specialists.
•    Assist the Proposal Manager with process improvements.
•    Facilitate and lead internal proposal kickoff meetings, content workshops, review sessions, and post submission activities.
•    Promote best practices and consistency across proposal development activities.
•    Attend and participate in daily Marketing Huddles.

Business Development Support
•    Maintain CRM data and support opportunity tracking activities.
•    Assist with market research, competitive analysis, and other items as needed. 
•    Participate in client events, industry organizations, and networking opportunities as needed.
•    Support interview preparation, coaching, and presentation development for shortlisted pursuits.
Continuous Improvement
•    Analyze pursuit outcomes and contribute to lessons learned discussions.
•    Identify opportunities to improve proposal processes, content libraries, templates, and win strategies.
•    Maintain organized proposal archives and reusable content resources.
•    Perform other duties and special projects as assigned.
MINIMUM EXPERIENCE REQUIRED (KSA’s, Education, YOE)
•    Bachelor's degree in marketing, communications, or a related field.
•    4+ years of marketing and leadership experience in B2B professional services (preferably in the Architecture/Engineering/Construction industry).
•    Ability to leverage a network of clients and relationships.
•    Understanding of A/E/C industry terminology and procedures.
•    Proficient with Adobe Creative Suite (InDesign, Photoshop and Illustrator) and Microsoft MS Office Suite, CRM, and other relevant tools.
•    Excellent writing and editing skills, with the ability to craft clear, concise, and persuasive content.
•    Exceptional organizational skills and attention to detail, while managing multiple projects simultaneously.
•    Understanding construction industry standards, regulations, and best practices.
•    Ability to meet deadlines in a fast-paced environment.
•    Excellent interpersonal and communication skills to collaborate with stakeholders at all levels.

PHYSICAL DEMANDS / WORKING CONDITIONS (environment, noise level, public interactions)
•    Office work environment with occasional travel to job sites, trade shows, client events, groundbreaking events, etc..
•    Work is performed both independently and with the team to ensure that internal and external stakeholder requests are met. 
•    Ability to convey detailed and accurate instructions and information verbally.
•    Capability to push, pull, lift, reach, and carry at least 10 pounds, occasionally lifting/moving up to 20 lbs. with or without assistance.
•    Ability to work in an open office environment 5 days a week.
•    Ability to manage time wisely.
•    Ability to wear required PPE on job sites.
