Position: Plant Operations Coordinator

Schedule: Full-time, 40-hours/week; Monday-Friday, 8:00am-4:30pm (occasional on-call responsibilities)

Pay: $25-$28 per hour

General Summary:

The Plant Operations Coordinator is responsible for aiding with the overall planning, development, organization and implementation of services and procedures within the facilities services department. This role primarily handles state and federal compliance, routine safety inspection visits, and the associated paperwork. This position is the primary intake for both staff and resident work ticket requests. This position assists with new resident move-ins in accordance with established policies and procedures of StoneRidge.

Primary Responsibilities:

  • Takes direction from the Facilities Manager and Facilities Director with all administrative functions in the Facilities Department.
  • Input requests into the WorxHub work order system for both Staff and Resident concerns. This includes opening and closing work orders, assigning the proper technician(s) and tracking the time and material expended.
  • Handle direct communication with residents and their families regarding work order statuses and schedules.
  • Schedule appointments for I.T., maintenance technicians, and grounds technicians.
  • Assist with the scheduling and tracking of special projects.
  • Coordinate and schedule subcontractors’ access to apartments when necessary
  • Manage purchasing, inventory, accounts payable, resident billing, shipping and receiving
  • Create and track purchase order numbers for the operations budget and for major capital projects.
  • Manage and track resident committee budgets and reconcile receipts, e.g., Woodshop Committee
  • Work with the Director of Facilities on capital and operation expenses/budget
  • Collaborate with Finance, Executive and Facilities Directors on achieving Capex budget.
  • Assist with capital project submittals, RFPs, and proposal reviews
  • Coordinate interdepartmental functions and services. E.g, event set ups, new resident move-ins, etc.
  • Create additional work proposals for apartment upgrades such as flooring, electrical, paint, plumbing, kitchen cabinets, etc. Collect payment, schedule work, follow through to completion.
  • Maintains knowledge of and ability to proficiently use all necessary computer systems, including but not limited to: Microsoft Office, WorxHub, Asset Management system, AP Express, Sharepoint, Security Management system (cameras, card access)
  • Recommend improvements and offer suggestions as appropriate.
  • Utilizes time in an efficient manner, completing duties in a timely fashion.
  • Participate in the orientation and development of new employees.
  • Prepare name badges and key fobs for residents and staff.
  • Maintains skills and competencies utilized in work areas.
  • Performs other duties as assigned

Other Duties:

  • Attends in-service training and education sessions, as assigned.
  • Maintain confidentiality of all pertinent resident care information to assure HIPAA policies are followed and resident rights are protected. Respects and maintains resident confidentiality. Follows all aspects of Standards of Conduct and Corporate Compliance.
  • Reports all incidents/accidents immediately. Reports all unsafe/hazardous conditions equipment immediately. Ensure established safety regulations are followed
  • Participates in quality assurance and continuous improvement programs.

Qualifications:

  • Associate’s degree in business or related field or 4 years equivalent work experience preferred.
  • Basic knowledge of with CCRCs, Healthcare settings and Memory Care facilities
  • Knowledge of Amazon Business
  • Proficient with various accounting processes
  • Strong organization and multitasking abilities
  • Resourcefulness under pressure
  • Clear verbal and written communication
  • Strong computer skills and aptitude.
  • Experience with phone systems (voice over IP, Avaya)

Physical Requirements / Working Conditions: 

Moderate physical effort; must be able to lift 20 pounds; must be able to walk, stand and stoop for an extended period of time (over 80% of the time); exposure to a variety of chemicals and dust daily; may be exposed to the HBV and HIV viruses.
