Position Summary
The Customer Service & Data Entry Associate supports office operations at our Bronx, New York facility. This role is responsible for providing professional customer service while ensuring accurate and timely invoice processing and work order administration. The position works closely with Operations, Drivers, and Finance to support efficient gear tracking, billing, and customer communication.
Key Responsibilities
- Respond to incoming phone calls, emails, and messages from customers in a timely and professional manner
- Process invoices accurately and on schedule, including meeting month-end billing deadlines
- Review, verify, and close work orders prior to invoicing, resolving discrepancies as needed
- Coordinate with Operations Supervisors and drivers to track gear status and support pickups and deliveries
- Maintain communication with customers regarding service updates and billing questions
- Follow up on outstanding invoices and document collection activity in coordination with Finance
- Prepare and distribute required reports, including participation, BER, and condemned gear reports
- Maintain accurate records and support daily and monthly financial reporting
- Assist with employee onboarding activities as assigned
- Participate in training, continuous improvement initiatives, and other duties as needed
Qualifications
- Minimum of 2 years of experience in customer service and administrative support; billing or invoicing experience strongly preferred
- Strong attention to detail with the ability to maintain accurate records
- Proficiency with Microsoft Office applications, including Outlook, Excel, and Word
- Experience with invoicing, accounting, or accounts receivable systems preferred
- Strong verbal and written communication skills
- Ability to prioritize tasks and meet deadlines in a fast-paced environment
- Ability to work independently as well as collaboratively with cross-functional teams
- Preferably bilingual (English/Spanish)

This position is primarily office-based within an industrial service environment. Employees may occasionally walk through production areas and must be able to sit or stand for extended periods.
