The Production Administrator – CPS plays a vital role in supporting FABco's Concrete Products & Services (CPS) storefront and administrative operations in Nashville. This position requires strong organizational skills, attention to detail, and the ability to coordinate inventory, process will-call and counter orders, and facilitate communication between vendors, suppliers, walk-in customers, and internal teams. The ideal candidate will have experience in retail/counter administration or office administration within a construction materials, building supply, or industrial environment.

Essential Duties and Responsibilities

Storefront & Customer Service

Greet and assist walk-in and will-call customers at the CPS storefront counter, processing orders for concrete products, forming supplies, chemicals, bag products, and related equipment
Provide accurate product information and pricing to customers and route technical questions to the appropriate CPS team member
Process point-of-sale transactions, will-call pickups, and customer invoicing accurately and promptly
Support retail floor and yard organization, ensuring products are stocked, labeled, and accessible for customer pickup

Administrative & Office Support

Answer and direct phone calls, take messages, and respond to customer and vendor inquiries
Maintain and organize records related to inventory, product orders, and business transactions
Process and file incoming and outgoing correspondence, including purchase orders, invoices, and contracts
Operate office and point-of-sale equipment, including computers, printers, and relevant business software
Update and maintain CPS inventory and sales databases, logs, and documentation

Inventory & Operations Coordination

Track product orders, inventory levels, and supply chain logistics for CPS product lines, including reinforcing and bar supports, paving/bridge/slab products, concrete forming, chemicals, bag products, and general and concrete equipment
Review incoming shipments and stocking schedules to ensure product availability for customers
Monitor inventory accuracy, verifying that documentation and records comply with company and industry standards
Coordinate delivery of concrete products and supplies to customers and job sites, working closely with suppliers, vendors, and drivers
Record sales and inventory data, including product movement, will-call fulfillment, and stock replenishment needs

Communication & Collaboration

Serve as a point of contact between the CPS storefront, suppliers, delivery drivers, and administrative staff
Help coordinate delivery schedules and order adjustments with customers and vendors
Address customer or order-related issues, collaborating with the Branch/Store Manager to resolve delays or product shortages
Ensure compliance with company policies, safety regulations, and cash-handling/point-of-sale procedures

Logistics & Documentation

Maintain records for product purchases, equipment rentals, and vendor agreements
Process will-call tickets, work orders, and regulatory compliance paperwork
Support procurement efforts by tracking purchase orders, invoices, and payment schedules
Assist in maintaining safety documentation and compliance records for the storefront and yard
QualificationsQualifications

Education & Experience

High school diploma or equivalent required; some college or industry-related certification preferred
Prior experience in a retail counter, building materials storefront, or office administration role in a construction, manufacturing, or industrial environment preferred

Knowledge, Skills, and Abilities

Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Experience with point-of-sale (POS) systems and inventory/business management software (e.g., Procore, Sage 300, Viewpoint, or similar) a plus
Familiarity with concrete products, forming supplies, chemicals, and related building materials preferred
Strong customer service and cash-handling skills

Working Conditions

This position operates in a fast-paced storefront and office environment with regular customer interaction, including some exposure to outdoor conditions when assisting with yard or will-call orders. Occasional early morning or late evening work may be required based on business needs.

This position requires the ability to remain stationary for extended periods at a counter, desk, or computer workstation; occasionally stand, walk, and move throughout the storefront, yard, and warehouse areas, including uneven or outdoor terrain; and lift and carry products, documents, or office supplies up to 25 pounds occasionally.
