About the Role
The Program Coordinator will play a vital role in supporting the day-to-day operations and execution of Everyone On’s programs. Reporting directly to the Operations Manager, with a dotted-line reporting relationship to the Director of Programs, this role drives data-informed decisions through survey management and reporting, maintains critical digital inclusion resources, manages instructor engagement, and ensures seamless operational support across hardware logistics and administrative workflows.
Key Responsibilities
Measurement, Evaluation & Data Management
- Track and manage the administration of survey instruments across programs
- Analyze incoming program data and generate comprehensive monthly impact reports
- Maintain CRM data integrity to support accurate grant/project tracking and reporting
National Offer Locator Tool Oversight
- Oversee the routine upkeep and incident management workflows for the National Offer Locator tool
- Audit and verify source information, partner details, and external links for accuracy
- Pull platform metrics, generate monthly operational reports, and serve as the secondary liaison with contractors to maintain and enhance the National Offer Locator tool
Instructor Coordination & Engagement
- Facilitate quarterly recruitment, interviewing, and onboarding of Digital Skills Instructors (DSIs)
- Provide ongoing support to DSIs by planning, coordinating, and leading periodic curriculum review and professional development sessions
- Manage the monthly DSI "Breaking Bread" meetings by assigning facilitators, crafting agendas, and managing pre- and post-meeting communications
Operations & Program Administration
- Serve as the primary liaison between Everyone On and device vendors; identifying, escalating, and resolving recurring vendor issues while ensuring internal staff adheres to established device ordering protocols
- Support the Programs team by managing ordering tools, streamlining fulfillment workflows, and ensuring accurate documentation for partner deliveries of refurbished laptops
- Maintain the inventory system and device order forecast tools
- Maintain the asset management workflow, ensuring quarterly physical inventory audits are completed, and inventory reports are submitted
- Assist the Programs team with administrative tasks, including but not limited to, project reporting, file management, and workflow hand-offs
Technical Support & Automation
- Design, build, and maintain cross-platform workflow automations (primarily using Zapier) to eliminate manual data entry, streamline internal hand-offs, and improve organizational efficiency.
- Serve as an internal technical resource across teams, troubleshooting data flow issues, advising on AI and software usage, and training staff on basic systems processes and best practices.
- Continuously evaluate current administrative workflows and digital tools, recommending and implementing technical updates to support overall operational scale.
Qualifications & Skills
- 2–4 years of experience in project coordination, operations, or non-profit administration
- Proficiency with data workflows - including capturing information via web forms and surveys, cleansing and manipulating datasets using spreadsheets or light databases, and translating raw data into clear reports, graphs, and stakeholder dashboards
- Proven ability to design, build, and debug cross-platform workflows using logical branching and low-code/no-code tools (e.g., Zapier, Make)
- Experience using conversational AI (e.g., Gemini, ChatGPT) for "vibe coding," rapid troubleshooting, and generating custom scripts (such as Google Apps Script) to automate repetitive administrative tasks
- Advanced proficiency with office productivity tools such as Google Workspace and Microsoft Office Suite
- Experience handling vendor relations, supply workflows, and inventory tracking
- Demonstrated ability to lead meetings, facilitate workshops, and manage professional development pipelines
- Exceptional attention to detail, strong time-management skills, and the ability to manage cross-functional hand-offs effectively
- A passion for fostering digital equity, advancing broadband adoption initiatives, and serving low-income communities of color
- Must be based in the United States and eligible to work remotely
Compensation and Application Process
The salary for this position is $65,000. Everyone On offers competitive compensation and a strong benefits package that includes employer-sponsored health, dental, and vision insurance, a monthly technology reimbursement, a 3% match on employee retirement contributions, a generous professional development budget, up to 20 days of PTO in your first year, and 11+ paid holidays each year.
