EIS Holding is looking for a detail-oriented Office Administrator to support our Nashville operations team. In this role, you'll be the backbone of the day-to-day administrative work that keeps our field operations running smoothly — from booking travel and hotel accommodations for field crews, to entering and maintaining employee credentials in FieldFlo, to assisting with hourly payroll preparation and supporting prequalification submittals and project close-out documentation. Purpose of the Position
Oversee and manage daily office operations, ensuring the smooth functioning of administrative tasks. The Office Administrator supports staff, maintains records, and ensures the office environment is organized, efficient, and professional.
Essential Position Responsibilities
- Perform general administrative duties, including answering phones, managing emails, and scheduling appointments. Provide support to managers and staff as needed.
- Maintain accurate and organized records, including personnel files, invoices, and company documents. Ensure confidentiality and compliance with company policies.
- Oversee office supplies and equipment, including ordering, inventory management, and maintenance requests. Ensure a clean and professional office environment.
- Act as a point of contact for internal and external communications. Facilitate clear and professional correspondence with clients, vendors, and employees.
- Schedule and coordinate meetings, trainings, and office events. Prepare agendas, materials, and minutes as required.
- Assist with basic accounting tasks, such as processing invoices, managing expense reports, and reconciling petty cash. Collaborate with the finance team as needed.
- Ensure office operations adhere to company policies and procedures. Support HR and management with onboarding processes and compliance-related tasks.
- Maintain accurate and current employee profiles in FieldFlo.
- Assist with preparation of pre-qual packets and close-out documents.
- Address and resolve office-related issues, escalating concerns to supervisors when necessary.
- Support managers and teams with project coordination, ensuring deadlines and goals are met.
Physical activities: Sitting, typing, and working on a computer for extended periods. Occasionally lifting or moving items weighing up to 20 pounds.

Minimum Education: HS Diploma.
Preferred Skill Set: Proven experience in administrative or office support roles. Proficiency in Microsoft Office Suite and office management software. Excellent organizational and multitasking abilities. Strong written and verbal communication skills. Ability to prioritize tasks and manage time effectively. Basic knowledge of accounting principles is a plus. Strong interpersonal skills and a professional demeanor.
