About this role

General Purpose:

Supports managers and employees through a variety of tasks related to organization and communication. Provides general administrative support to the maintenance department.

 

Essential Functions:

 

 

  • Work with-in ERP to enter purchase requisitions/reprint work orders/close work orders
  • Order/restock material/parts to replenish inventory in designated areas
  • Maintain purchase order log as it pertains to orders, shipping dates, tracking numbers etc..
  • Follow up with the suppliers on orders needed
  • Research material/parts for departments as needed, purchase materials/parts
  • Serve as the primary contact for all vendors (limited to non-capital projects)
  • Maintain mechanics time keeping log for work orders
  • Maintain monthly On-Call calendar
  • Update work order log weekly
  • Complete monthly safety cards, quality inspections, and housekeeping audits
  • Maintain a digital library of maintenance documents
  • process invoices for accounts payable
  • Any other assigned duties

 

 

Supportive Functions: 

 

In addition to performance of the essential functions, this position may be required to perform a combination of supportive functions based on business needs:

 

  • Enter production and receiving data into SAP system
  • Prepare and ship samples per request of sales manager and technical personnel
  • Prepare manifest documents for hazardous and non-hazardous waste shipments for off-site disposal
  • Prepares packages and documents for UPS and FedEx shipment
  • Support plant and maintenance managers with purchasing functions
  • Stay current on MRO buying activities

 

 

Knowledge, Skills & Abilities:

 

  • Previous experience as an administrative assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment
  • Proficiency in MS Office
  • Excellent time management skills and ability to prioritize
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Ability to multitask


Education/Experience Guidelines:

 

·         High School Diploma

·         Associates Degree or Equivalent Preferred

·         2-5 Years of relevant experience
