What Are We Looking For?
Defy Medical is looking for a Front Desk Associate on our Medical Staff Team to add to our growing team. The Medical Staff Team plays a pivotal role in the patient care plan. The Front Desk Associate will be the first impression of Defy Medical with many patients. A Front Desk Associate at Defy Medical is outgoing and enjoys helping people. Friendly demeanor, excellent communication, and organization are pillars for this role. Customer service is the key element to being successful in this role.
Responsibilities
- Greet patients, provide required paperwork and visit information, and deliver professional, patient-centered customer service.
- Communicate effectively with patients, providers, medical personnel, and staff through in-person interactions, phone calls, and daily email correspondence while maintaining proper phone and email etiquette.
- Maintain patient and employee confidentiality in accordance with HIPAA regulations.
- Manage high-volume inbound and outbound calls, including patient phone triage nationwide through telemedicine and incoming calls through the Medical Staff queue.
- Assist patients with initial and medical orders, product ordering, treatment procedures, injection administration, and follow-up education.
- Accurately process shipment orders, clinic deliveries, general orders, Defy shipping tickets, and C/O through the Med Portal.
- Prepare medical necessity and travel letters, process medical release requests, and upload patient documentation into IntakeQ.
- Prepare next-day patient flow charts, update appointment notes, and print laboratory orders.
- Perform lab draws, physical exams (PE), and therapeutic phlebotomy (TP) on days not assigned to the front window.
- Maintain the MA queue throughout the workday except when assisting patients at the window, handling Defy shipping tickets, C/O, or assigned tickets.
- Assist with clinic and front-office inventory counts and maintain organized, clean work areas, supplies, and equipment.
- Complete clinic opening and closing procedures, including alarms, coffee maker, television, and other assigned operational tasks.
- Efficiently multitask across the EMR, Medical Staff queue, Med Portal, IntakeQ, and other systems while accurately processing orders and assigned tickets.
- Address patient concerns and complaints using problem-solving skills, provide appropriate follow-up, and ensure patient satisfaction.
- Maintain professionalism, accuracy, efficiency, and strong organizational skills while performing all assigned clinical, administrative, and operational duties.
Qualifications
- High school diploma required; associate degree preferred but not required.
- At least one year of experience in a healthcare setting required; prior front-desk experience preferred.
- Proficiency in medical terminology; pharmaceutical experience encouraged.
- Excellent interpersonal, active listening, written, and verbal communication skills, with strong phone and email etiquette.
- Demonstrated ability to provide exceptional customer service and work effectively with individuals at all levels.
- Proficient in Microsoft Office/Outlook, EMR systems, and other computer programs, with the ability to quickly learn and navigate multiple systems.
- Strong multitasking, prioritization, organization, and time-management skills.
- Ability to work effectively in an office-based environment.
- Coachable, adaptable, dependable, and committed to working collaboratively as part of a team.
Training hours
- Monday-Friday 8:00am-4:45pm (4-6 weeks of training)
Shift
- Monday-Friday 8:15pm-5:00pm
Compensation: $19.50/hr (not negotiable)
