About the Role

The Staff Accountant manages the company's day-to-day accounting activities and ensures timely, accurate financial records and reporting. Working closely with the Director, this position will own core accounting processes including accounts payable and receivable, general ledger activity, account reconciliations, month-end close, financial reporting, fixed assets, and other recurring accounting functions.

This is a hands-on role well suited to an experienced accountant who enjoys working across the full accounting cycle in a small-business environment but one operating in multiple states. The Staff Accountant will also serve as a key liaison with the company's outside CPA and other financial partners, preparing schedules and supporting documentation while escalating strategic, tax, legal, and risk-management decisions to the Director.

What You'll Do

  • Manage day-to-day accounting activities and maintain accurate and complete financial records.
  • Manage accounts payable and accounts receivable, including appropriate coding, documentation, follow-up and reconciliation.
  • Maintain the general ledger and prepare and post journal entries, accruals, and other adjustments.
  • Perform monthly bank, credit card, loan, and balance-sheet account reconciliations and research and resolve discrepancies.
  • Lead the monthly accounting close process and ensure transactions are recorded accurately and in the appropriate period.
  • Prepare recurring weekly, monthly, quarterly, and annual financial reports for review by the Director.
  • Monitor cash balances, receivables, and upcoming obligations and provide the Director with timely information regarding cash needs or potential issues.
  • Assist with annual budgeting and forecasting by compiling historical information, current trends, and anticipated expenses.
  • Prepare budget-to-actual reporting and identify significant variances for review with the Director.
  • Maintain accurate fixed-asset records, including purchases, disposals, gains and losses, and provide supporting information to the company's CPA for depreciation and tax purposes.
  • Process and track sales commissions and other company-specific recurring payments.
  • Manage recurring revenue/RMR payment accounting and reconciliations.
  • Support customer invoicing processes, including installment invoicing and processing information associated with signed proposals.
  • Maintain vendor accounting records, request required W-9 information, and coordinate annual 1099 preparation and issuance.
  • Reconcile payroll activity to the general ledger and ensure payroll-related expenses and liabilities are recorded accurately.
  • Prepare accounting schedules, documentation, and supporting records for year-end tax preparation, audits, and other external financial reviews.
  • Provide accounting information and schedules to the company's CPA related to assets, loans, year-end activity, tax preparation, and other financial matters.
  • Support workers' compensation, general liability, and other insurance audits by preparing payroll, financial, and supporting accounting information as requested.
  • Maintain organized accounting records and appropriate supporting documentation.
  • Identify opportunities to improve accounting processes, documentation, and internal controls.
  • Work collaboratively with the Director, operations team, office administration, outside HR consultant, and external accounting partners to ensure responsibilities are handled efficiently and information flows appropriately.
  • Perform other accounting and financial analysis as needed.

What You'll Bring

  • Bachelor's degree in Accounting, Finance, or a related field preferred; equivalent substantive accounting experience may be considered.
  • 5+ years of progressive accounting experience, preferably in a small or mid-sized business, multi-state environment.
  • Demonstrated experience with general ledger accounting, month-end close, account reconciliations, AP/AR, and financial reporting.
  • Strong understanding of fundamental accounting principles and internal controls.
  • Experience working with outside CPAs, auditors, or tax professionals preferred.
  • Experience with inventory, fixed assets, commissions, or retail/service-business accounting is helpful.
  • Strong proficiency with accounting software, QuickBooks, Google Docs, Google Sheets, and Microsoft Excel.
  • Excellent attention to detail and demonstrated ability to identify and resolve discrepancies independently.
  • Ability to manage multiple recurring deadlines and take ownership of accounting processes from beginning to end.
  • Strong judgment and ability to recognize when an issue should be elevated to the Director or an outside professional.
  • Advanced communication and collaborative skills.

Success will be demonstrated by accurate and timely financial records, a disciplined monthly close, reliable reporting, well-maintained supporting documentation, effective coordination with external accounting partners, and the ability to give the Director confidence that the day-to-day accounting function is operating effectively.
