SUMMARY:

The Corporate Administrative Assistant performs a variety of tasks related to support of our Integrated Construction Group (ICG), Corporate Resource Group (CRG), Integrated Marketing + Development Group (IM+D), and general office support. 

 

MINIMUM QUALIFICATIONS 

  • Associates degree or related experience 

  • Minimum of three (3) years of administrative support or customer service experience 

  • Ability to learn new software quickly  

  • Graphics and presentation program experience a plus 

  • A valid driver’s license 

 

TECHNICAL JOB KNOWLEDGE: 

  • Generates, reviews, and distributes key statistics and reports 

  • Coordinates and validates billing for Verizon, ISPs, UBT (copy/print), AmEx purchases, and performs reconciliation and prepaid notation clean-up; AMEX purchase coordination 

  • Assists with the loaner vehicle program including check-ins / outs, inspections, maintenance coordination, driver documentation, and vehicle retrieval 

  • Supports department events, and coordinates meals for meetings and internal groups 

  • Monitors security compliance training, AED inspections, and tracks USGBC certifications and sustainability metrics for projects 

  • Compiles reports for Business Solutions; supports Microsoft Office 365 security monitoring and tracks incident statistics 

  • Sends department-wide birthday and anniversary congratulations, manages meeting invitations, and maintains email communications for PTO and report follow-ups 

  • Audits Toolwatch assignments, reviews asset fringe data, assists with Business Solutions product updates, and manages hardware and loaner device tracking 

  • Maintains accurate records by scanning, filing, and distributing documents; transcribes and organizes departmental materials and reports 

  • Manages project security documentation by receiving, safeguarding, and securely transmitting sensitive employee information containing PII, including applying appropriate encryption or password protection and coordinating timely delivery to government agencies or client security contacts

The base salary (or hourly) range for this position is

$26.45 - $31.25
