Sr. Client Service Associate, Private Wealth
REPORTS TO:
The Sr. Client Service Associate will report directly to the Sr. Advisor as well as to the Managing Director of Investment Operations, or their designee.
POSITION SUMMARY:
The position of Senior Client Service Associate for The Coury Firm's Private Wealth division (the “Firm”) is a senior-level client service role responsible for supporting Advisors and clients through exceptional service, operational excellence, and accurate execution of client account activities.
The Senior Client Service Associate will provide advanced support in client onboarding, account administration, custodial coordination, money movement processing, workflow management, and client service matters. This individual serves as a key resource to Advisors and fellow Client Service Associates, handling more complex client requests while helping maintain consistency, efficiency, and best practices across the client service team.
This position works collaboratively with Advisors, Client Service Associates, Investment Operations, Compliance, Reporting, and Senior Management to support the delivery of investment management, comprehensive financial planning, risk management, estate planning, and other wealth management services. The role also assists with Advisor-directed trading activities, custodial processes, and operational initiatives, while helping mentor and develop less experienced team members.
RESPONSIBILITIES:

Client Service & Relationship Management
- Assist with client onboarding processes and account establishment.
- Attend client meetings as requested and assist with data gathering, meeting preparation, meeting notes, and follow-up activities.
- Serve as a primary point of contact for complex client service requests and account-related inquiries.
- Assist with maintenance of client relationships by responding to questions regarding investment accounts, service requests, and Firm procedures.
- Interact with clients regarding various requests, including money movement requests, account balances, charitable giving confirmations, check requests, account maintenance, and other service-related matters.
- Maintain accurate and current client information within CRM and document management systems.
- Manage the distribution and receipt of client paperwork and documentation.
- Prepare client letters, correspondence, and emails as needed.
- Schedule restaurant and meeting reservations for client events as needed.
- Take ownership of certain daily operational and client service functions.
Operations & Custodial Administration
- Independently prepare and process account opening, maintenance, transfer, and closure documentation with custodians and applicable vendors.
- Facilitate and monitor account transfers and account maintenance requests to ensure timely completion.
- Execute money movement transactions, including wires, ACH transfers, journals, and standing authorization requests in accordance with Firm policies and regulatory requirements.
- Serve as a primary liaison with Schwab and other custodial partners regarding account administration, service requests, and issue resolution.
- Assist in resolving operational issues, exceptions, and escalations related to client account servicing.
- Work closely with Advisors, Reporting, Compliance, Investment Operations, and other internal teams to ensure timely execution of client requests and deliverables.
- Assist with Advisor-directed trading activities, rebalancing support, and related custodial processing in accordance with Firm policies and procedures.
- Monitor workflows and communicate proactively regarding deadlines, outstanding items, and operational constraints.
Workflow Management & Process Improvement
- Utilize CRM systems to submit and assign tasks, create and maintain client records, monitor workflows, generate reports, and track service requests.
- Assist in identifying opportunities to improve workflows, efficiencies, and client service processes.
- Help develop, document, and maintain operational procedures, workflows, templates, and reference materials.
- Demonstrate advanced proficiency with firm systems, custodial platforms, CRM systems, and operational tools.
- Escalate operational risks, client service concerns, and process exceptions in a timely and professional manner.
- Assist with special projects and operational initiatives as assigned.
Leadership & Team Development
- Serve as a resource and mentor for Client Service Associates and newer team members.
- Assist with onboarding and training of Client Service Associates.
- Share best practices and promote consistency in client service and operational processes across the team.
- Take ownership of complex client service and operational matters requiring advanced knowledge and experience.
- Support department initiatives designed to improve scalability, efficiency, and service quality.
QUALIFICATIONS:
A Sr. Client Service Associate at the Firm must possess the following qualifications:
- Bachelor's Degree with five (5) or more years of related experience in wealth management, client service, financial services, or investment operations.
- Series 65 or 66 license required or ability to obtain within 180 days of employment.
- Experience with Schwab Advisor Center and custodial platforms preferred.
- Understanding of wealth management operations, account administration, money movement procedures, and client service workflows.
- Knowledge of industry rules, regulations, and custodial practices.
- Possess exceptional professional verbal and written communication skills, including the ability to interface in a professional, cordial, and confident manner.
- Demonstrate strong organizational and time management skills to successfully manage multiple projects, workflows, and competing priorities.
- Ability to exercise discretion and professionalism when handling confidential information.
- Ability to collaborate effectively and work well within a team structure.
- Ethically driven with an unwavering commitment to client service.
- Proficient in Microsoft Office Suite, including Excel, Outlook, PowerPoint, Word, and OneNote.
- Proficiency in CRM systems, document management platforms, and portfolio management software.
- Demonstrated ability to work independently while maintaining accountability and accuracy.
