Exciting VA Follow-Up Specialist Opportunity!

Before a veteran can receive their device, the VA has to approve it — and those approvals sit in queues at VA facilities across the country. Your job is to help keep those approvals moving. You'll spend your day on the phone with VA hospital staff, working a list of pending approvals, finding out where each one stands and what's holding it up. When you get an answer, a veteran gets closer to their device.
Details:
- Location: Austin, Texas (Hybrid)
- Pay Range: $22-$26 per hour
Key Responsibilities:
- Work the phones: Call your assigned VA facilities on a regular three-to-five day cycle to check the status of every pending approval on your list. This is a full-day calling role — no patient calls, no paperwork processing.
- Get to the right person: Navigate VA phone systems, queues, and transfers to reach someone who can give you a real answer. Build the contacts and shortcuts that make next week's calls faster.
- Get the status and identify the holdup: Find out where each approval stands and, when something is holding it up, what it is. Log the status, any barrier, and your next follow-up date in Salesforce. Quick structured entries — not paperwork.
- Hand off cleanly: Pass cases that need documentation or administrative work to the team that owns it, so you can stay on the phone.
- Flag patterns: Tell your manager when a facility changes its process or a problem starts repeating.
- Perform other duties as assigned.
What this role actually looks like:
Some VA centers pick up in ten minutes. Others hold you for forty-five. Plenty of calls end in voicemail, a wrong department, or an answer that contradicts what you were told last week. That's the job, not a bad day. The people who do well here don't take it personally, don't carry a rough call into the next one, and find a steady rhythm in working the same list the same way every day. If you need constant variety and fast momentum to stay engaged, this isn't the right fit — and we'd rather say that now.
Qualifications:
- High School Diploma or GED required; higher education welcome.
- 1+ years of high-volume phone experience — outbound calling, follow-up, collections, scheduling, insurance verification, authorization follow-up, or a comparable environment.
- Comfort working a structured daily call list independently.
- Experience with Salesforce or a similar system preferred.
- Healthcare, DME, or VA experience helpful but not required — we'll teach you the process.
- Ability to handle confidential patient and business information appropriately, in accordance with HIPAA and company policies.
