As a Meals on Wheels Coordinator, you’ll play an essential role in coordinating meal services, supporting clients and care managers, and ensuring meals are delivered accurately, safely, and on time. You’ll be responsible for maintaining accurate client information, coordinating delivery routes, managing communications, and supporting the day-to-day operations of the Meals on Wheels program. This role is ideal for someone who is highly organized, enjoys helping others, and thrives in a fast-paced environment where attention to detail and excellent customer service make a meaningful difference every day. You’ll work closely with Culinary, Transportation Leadership, Meals Drivers, clients, and care managers to ensure the Meals on Wheels program operates efficiently and provides exceptional service to the community.
Pay: Starting at $14/hr
Schedule: Part Time. Monday, Wednesday, Friday. 5am - 2pm.
Location: Berkeley Square
Requirements:
- Ability to pass a background check, drug screen, and physical
- Valid driver’s license, vehicle insurance, and good driving record

Responsibilities
- Create and print monthly COA approved menu to be delivered to the clients and received by their Meals Drivers.
- Maintain/Input client choice menus and zones on the Servtracker system.
- Monitor, update and report accurate client information according to each program specifications in the following categories: Elderly Services Program and PASSPORT.
- Manage client/care manager calls and emails.
- Communicate with Culinary as needed regarding the menus, ingredient books, and client concerns.
- Ensure communication between Director of Transportation and Meals Drivers making sure everyone understands and performs the business of Meals on Wheels.
- Maintain and teach the Servtracker Mobile App software.
- Monitor and maintain up-to-date records and client files who utilize Partners’ delivered meals program.
- Run daily route sheets, including Delivery Details and Kitchen Summary reports, every business day.
- Drive and deliver meals as needed and for training purposes.
- Follow all procedures to ensure compliance of all government and agency guidelines for each program’s service specifications (i.e.: Elderly Services Program and PASSPORT) and monitor the “Care Director” system for updates or changes.
- Manage Private Pay clients.
- Prepare and forward notifications and/or correspondence to clients and other related services.
- Process accurate and up-to-date client information into appropriate database system(s).
- Update or revise meal delivery routes as needed to ensure appropriate and timely meal deliveries.
- Assist in the Communication to the appropriate agency, within 24 hours of a referral, of Partner’s intent to accept or decline Meals on Wheels clients.
- Clear phone messages, report all updates, changes in service, cancellations, new requests and client concerns to the clients’ Care Managers for services provided.
- All other duties as assigned and/or appropriate to the position.
Qualifications
Education: High School diploma or equivalent.
Licenses or other required certifications: Must maintain a valid driver’s license, vehicle liability insurance and a good driving record that meets the standards of Partner’s In Prime’s vehicle insurance standards.
Experience: Entry level, no experience required.
Specialized knowledge, skills, or abilities: Time management and the ability to organize and manage multiple priorities is a must. Accurate typing and computer knowledge. Excellent communication skills both verbal and written. Good knowledge of various computer hardware and software programs including Microsoft Word and Excel. Ability to pass basic math competency testing. Participate in promoting and maintaining a safe and positive work environment. Promote positive image of Partner’s In Prime within the community. Commitment to company values. Strong customer service skills.
