Summary
Responsible for providing administrative and operational support to the inspection and service team; create and dispatch inspection work orders, coordinate with approved service partners, maintain accurate system data, and ensure timely follow-up on open items.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
Create inspection work orders accurately and in a timely manner.
Dispatch inspection work orders to internal technicians or approved service partners.
Assign and coordinate approved subcontractor partners for inspection services.
Monitor and manage team email inbox, responding or routing requests appropriately.
Follow up on unscheduled or pending inspection work orders to ensure timely completion.
Upload proposals and supporting documentation into the system.
Validate inspection tags and ensure documentation compliance.
Update and maintain accurate customer location information in internal systems.
Maintain organized digital records and documentation.
Support team reporting and tracking of inspection activity as needed.
Education and/or Experience
High school diploma and 1–3 years of administrative, service coordination, or dispatch experience.
Computer Skills
Microsoft Office applications, proficient with Excel, experience with CRM/ERP systems, ServiceTrade preferred.
Physical Demands
Primarily office-based; able to sit at computer for extended periods; ability to use standard office equipment (computers, printers, scanners); sit, stand, walk, talk; occasionally lift and/or move up to 10 pounds; specific vision abilities required by this job include close vision.
