About this role

This role is subject to a flexible hybrid work arrangement requiring a minimum of 2 pre-determined days per week in our mid-town office.

SUMMARY

The Program Manager oversees faculty engagement and program content for CRF conferences, symposia, and workshops. 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Serve as the primary program lead for assigned educational meetings and conferences, partnering with physician course directors to develop and execute scientific content.
  • Manage faculty engagement, including invitations, scheduling, travel, accommodations, honoraria, presentations, and onsite support.
  • Coordinate all aspects of program planning and execution, ensuring timelines, budgets, and deliverables are met.
  • Facilitate planning meetings, track action items, and collaborate with cross-functional teams on agendas, websites, marketing materials, and event logistics.
  • Oversee live case sessions, including vendor coordination, contracts, compliance documentation, and grant-related activities.
  • Manage the Call for Science (CFS) process, including abstract submissions, presenter support, poster sessions, and late-breaking trial presentations.
  • Generate reports and program data to support physician leadership and organizational decision-making.
  • Provide onsite conference management, including agenda updates, presentation support, faculty logistics, and issue resolution.
  • Monitor program expenses, assist with budget forecasting, and maintain accurate program records and documentation.
  • Ensure compliance with organizational policies, procedures, and quality standards while identifying opportunities for process improvement.
  • Build and maintain strong relationships with faculty, physicians, vendors, industry partners, and internal stakeholders.
  • Serve as a key liaison between scientific leadership, conference participants, and operational teams to ensure successful program delivery.
  • Perform additional duties as needed to support departmental and organizational objectives.

QUALIFICATIONS

  • Bachelor’s degree or equivalent work experience required.
  •  5-7 years of experience in medical meetings, academic program management, or project management, including at least 4 years in administrative roles.
  • Demonstrated experience working with physicians and senior stakeholders.
  •  Proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint); experience with databases preferred.
  • Strong organizational and project management skills, with the ability to multi-task and prioritize in a fast-paced environment.
  •  Excellent written and verbal communication skills with a high degree of professionalism.
  • Strong problem-solving and analytical abilities.
  • Ability to work independently while collaborating effectively within a team.
  • Availability to travel 3–5 times per year, including one extended 7-day trip.

COMPENSATION 
The hiring range for this position is $75,000 - $85,000 per year. The annual salary that will ultimately be offered to the successful candidate will depend on job-related knowledge, education, skills, and experience.
