Brown Brothers Harriman is currently recruiting a Capital Partners Onboarding / Asset Transfer Specialist to join our Capital Partners Ops&Admin Team. In this role you will be responsible for supporting Multi-Family Office and Institutional Clients, primarily handling new account onboarding and asset transfers for new and existing accounts. S/he will ensure that all tasks are done timely and accurately and maintain a high standard of excellence. This position interacts with internal key stakeholders across the firm and works closely with the Front Office, AML, Risk, Service Delivery, and Capital Partner Support Teams. This person will drive continuous workflow enhancements to increase efficiencies and address control gaps.
Some of your key responsibilities include:
Security Transfers
- Collaborate with onboarding manager to review client statements and perform asset reviews including serviceability.
- Coordinate and inquire with Investor Services Operations teams including FO&C, SMF, Trade Settlements, Trade Management, Central Pricing, and others to determine serviceability and facilitate incoming and outgoing transfers.
- Work with Front Office teams and Risk to determine appropriateness of account types based on assets being transferred.
- Assist front office with the receipt of complex assets.
- Troubleshoot, research, and resolve break items.
- Gain an understanding of each type of security movement (mutual funds, alternative assets, private assets, DRS/DWAC, restricted securities, physical certificates, etc.).
- Ensure cost basis is received from delivering custodian and further updated by Portfolio Accounting in a timely manner.
- Perform reconciliation of asset transfers to ensure accuracy and completeness of what was expected and what was received.
- Generate confirmation letters to end clients for completion of transfers.
- Maintain a contact list for outside custodians.
- Maintain up to date process & procedures for asset onboarding related tasks and account closings.
Account Onboarding / Opening / Maintenance
- Primarily responsible for handling the opening of complex accounts and relationships.
- Liaise with the Front Office once new business has been won to begin the onboarding process and gain a clear understanding of the type of account and the required documentation.
- Act as subject matter expert on all things related to Onboarding.
- Analyze accounts to ensure proper documentation is obtained from the clients and review executed documentation from DocuSign.
- Thorough understanding of AML/KYC procedures and requirements.
- Responsible for processing maintenance requests and populating additional documentation for existing clients and understanding integration of workflows within multiple systems.
- Review exception reports and send occasional client maintenance changes.
Client Service / Relationship Management
- Develop strong working relationships with the Front Office Relationship Teams and other CP support groups.
- Act as the primary point of escalation for all issues.
- Address client inquiries in a timely manner.
- Use sound judgment to resolve problems.
- Escalate urgent and dire issues to management when deemed necessary.
- Develop relationships with BBH Trade Settlements, ACATS, Mutual Funds Services, Vault, Reconciliation & Analysis, Private Banking Service, and Outside Custodians to gain expertise and understand roles and responsibilities.
- Develop relationships with Private Banking Risk, KYC-AML, Tax Compliance, Private Banking Services, National Trust Company
- Partner with Front Office or work directly with clients to determine account structure, authorized signers, beneficiaries, etc.
Process/Productivity Improvement
- Create efficiencies to improve individual productivity
- Gain an understanding of the big picture – how specific function impacts the firm
- Contribute to Division or Firm process improvement activities
- Communicate professionally and constructively to effectively resolve issues to minimize risk and exposure.
- Assess current processes and provide suggestions for streamlining when necessary
- Collaborate with Systems and Change Management to automate processes, integrate systems and workflows.
- Work on small to large ad hoc projects as needed.
Qualifications:
- Bachelor's degree required
- 0-2 years of experience.
- Ability to identify, escalate, and resolve problems/issues.
- Ability to communicate professionally through effective verbal and written communication skills.
- Excellent attention to detail, time management, and organizational skills.
- Strong interpersonal, collaboration, and relationship management skills.
- Ability to multi-task and prioritize tasks.
- Ability to work in a team environment.

- Proactive self-starter who is goal-oriented.
- Ability to design efficient workflows and solutions within internal applications and systems.
- Possess an in-depth understanding of Asset Transfer methods, custody functions, and portfolio accounting.
- Understanding of DTC, Addvantage, mutual funds, equities, Euroclear, settlements, transfers, etc. preferred
- Demonstrate risk awareness and ability to identify red flags.
This role is based in our New York City location and is a hybrid role, with a minimum of three days per week in office.
Salary Range
$60k-$75k base salary + annual bonus target
