The primary purpose of the Coordinator of Infectious Disease Policy and Science & Regulatory Affairs is to provide comprehensive administrative, logistical, and operational support to two policy teams, ensuring smooth coordination of team and policy committee meetings, communications, and efficient management of day-to-day operations to achieve departmental goals. This includes managing committee records, processing financial documents, coordinating internal and external meetings, supporting policy research and writing, and liaising with external stakeholders and vendors, all while maintaining efficient systems and tracking progress on team activities.

ESSENTIAL Responsibilities

  • Manage calendar, meeting, and expense reports for EVP & Chief of Global Health.
  • Maintain Board and Staff committee distribution lists and rosters across multiple platforms (Fonteva, Salesforce, Outlook, Excel, Share Vault).
  • Process and maintain accurate records of contracts, invoices, and other financial and contracting materials.
  • Provide logistical and communications support for Infectious Disease Policy and Science and Regulatory Affairs meetings, including scheduling, catering, facilities coordination, meeting materials, and notes.
  • Support BIO committees with email communications, RSVPs, name cards, meeting notes, and action items.
  • Act as Compliance Coordinator for department records and shared drives.
  • Provide policy research and writing support on infectious disease policy, science and regulatory topics.
  • Develop meeting materials for policy meetings and attend external meetings as needed.
  • Liaise with external vendors and assist with tracking expenditures.
  • Perform other duties as assigned.

EDUCATION and Experience

  • College degree or equivalent work experience. Bachelor’s degree in science, public health, business, or communications is a plus.
  • 2+ years of experience in an office environment, with prior administrative or trade association experience preferred, especially in healthcare, biotechnology, or science industries.

KNowledge, skills, and abilities (KSA’s)

  • Strong ability to multi-task and stay organized in a fast-paced environment.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Adobe Acrobat.
  • Experience with Salesforce, or other database software is a plus.
  • Flexible, team-oriented, and committed to providing excellent service.
  • Pro-active self-starter with exceptional initiative and the ability to take ownership of tasks.
  • Superior written and verbal communication skills.
  • Demonstrated interest in healthcare policy and related issues.
  • High level of professionalism and discretion in handling sensitive information.

  • Vision: Close vision for computer work and detailed tasks.
  • Fine Motor Skills: Using a mouse, keyboard, and other small office tools.
  • Ability to stand and walk for extended periods of time during events.
  • Frequent bending, stooping, kneeling, and reaching during events.
  • Ability to lift and carry up to 25 pounds if necessary

travel requirements

  • Travel up to 25%, including support for major events such as the BIO International Convention.
