About this role
The Executive Assistant will support the CEO of Bessemer Trust, a family office overseeing more than $250 billion in assets for over 3,000 individuals and families of substantial wealth. The Executive Assistant will provide seamless administrative support and serve as a liaison with key internal and external partners, requiring a clear understanding of the firm's priorities and the ability to build effective working relationships across departments and seniority levels.
Success in this role demands unquestionable integrity, sound judgment in handling sensitive and confidential matters, and exceptional interpersonal and organizational skills. The ideal candidate brings excellent attention to detail, the ability to manage multiple projects simultaneously in a fast-paced environment, and a collaborative, solutions-oriented approach to their work.
Primary Responsibilities:
Executive Support
- Manage the CEO’s time effectively, balancing immediate demands with longer-term priorities and exercising sound judgment in evaluating and prioritizing requests.
- Manage a complex and dynamic calendar, proactively identifying conflicts, anticipating scheduling needs, and ensuring the CEO’s time is aligned with business priorities.
- Serve as a key point of contact for internal and external stakeholders, facilitating effective communication and appropriate access to the CEO.
- Track key deliverables, decisions, approvals, and follow-up items to ensure commitments and deadlines are met.
- Anticipate the CEO’s administrative needs and proactively address issues to ensure the CEO’s schedule and activities run smoothly.
- Exercise a high degree of discretion and sound judgment when handling sensitive communications, requests, and confidential information.
Meeting Management
- Coordinate internal and external meeting logistics, including scheduling, conference rooms, offsites, videoconferencing, catering, and reservations.
- Manage meeting preparation and follow-up, ensuring agendas, briefing materials, presentations, and relevant background information are complete and available in advance.
- Coordinate with internal and external stakeholders to ensure the CEO is appropriately prepared for meetings and other engagements.
- Respond to incoming calls, correspondence, and inquiries with professionalism and discretion, facilitating timely and appropriate communication.
Travel Support
- Plan and coordinate frequent and complex domestic and international travel, including air, hotel, ground transportation, and related logistics.
- Prepare comprehensive itineraries, agendas, contact information, and relevant background materials for travel and meetings.
- Proactively manage changes and resolve issues that arise during travel to minimize disruption to the CEO’s schedule.
- Process expense reports, invoices, and other administrative items accurately and in a timely manner.
- Provide additional administrative and project support as needed.
Qualifications:
- Bachelor’s degree preferred.
- 10+ years of executive support experience, preferably supporting a C-suite executive within financial services.
- Demonstrated ability to handle highly confidential and sensitive information with discretion and sound judgment.
- Proven ability to prioritize and manage multiple projects and competing demands concurrently.
- Exceptional interpersonal and organizational skills.
- Excellent verbal and written communication skills.
- Sense of urgency, responsiveness, and follow-through.
- Attention to detail and accuracy.
- Commitment to quality, professionalism, and client service.
- Proven ability to work collaboratively and contribute effectively in a team environment.
- Advanced proficiency in Microsoft Office, including Outlook, Word, PowerPoint, and Excel; proficiency with Microsoft Teams, Salesforce, and Concur.
The base salary range for this position is $120,000- $150,000 per year. This range reflects the minimum and maximum base salary we reasonably expect to pay for this role. In addition, this position may be eligible to participate in the relevant business unit’s incentive compensation plan, and other compensation programs as applicable. Eligible employees may participate in a 401(k) program with a generous profit-sharing contribution, medical, prescription dental, and vision coverage; life insurance; disability coverage; paid holidays; vacation; and sick time, subject to plan terms and Company policies.
